Job purpose

The HIMS Manager position is responsible for the supervision of medical records staff at Heartland. This position is responsible for organizing, overseeing, and protecting patient health information and maintaining quality, accuracy, accessibility and security of PHI. The position monitors compliance with standards set for the department and ensure that goals and objectives for timely processing of records requests are met. This position is responsible for training of staff regarding medical records management and monitors related compliance with relevant policies and procedures, HIPAA Privacy and Security Rules, 42 CFR Part 2 Confidentiality Rules, and will be supervised by the Director of Quality.

Duties and responsibilities

  • Supervises the medical records specialists and works with clinical and operational directors in planning, organizing, directing and supervising the operations of the HIMS department
  • Provide daily oversight of operations in the department including staffing, training, performance, and reporting
  • Maintains ongoing tracking and documentation on records requests and release of information to promote clinic team awareness, regulatory compliance, and ensure patient safety and timely care using the eCW EHR
  • Identifies efficiencies opportunities for the HIMS department ensuring timely response and action
  • Compile, organize, maintain, and protect confidentiality of patient records at the appropriate level of security
  • Enter and maintain information in the EHR and monitors information for accuracy
  • Responsible to audit information entered in the EHR to ensure compliance with capturing necessary data as required by reporting agencies.
  • Investigate difficult cases and is the lead contact for patients or provider inquiries/concerns in obtaining appropriate care and/or information for the patient.
  • Utilizes EHR functions to document all pertinent information.
  • Interview, suggest best candidates to hire, perform disciplinary action and performance evaluations for employees.
  • Maintain inventory of office supplies and report equipment needs for the HIMS Department.
  • Attend courses/trainings to continue to develop supervisory skills that will enhance the support to manage assigned staff.
  • Perform other related duties as assigned or requested

Qualifications

  • Associate’s or Bachelor’s Degree with relevant experience or certification (RHIA or RHIT)
  • Medical terminology background
  • 2 years Medical record experience required
  • Previous supervisory experience required
  • Knowledge of administrative and clerical procedures and systems, such as Microsoft Word and Excel
  • Ability to learn an Electronic Health Record software
  • Attention to detail including maintaining a working knowledge of HIPAA standards and 42 CFR Part 2
  • Complete work with minimal supervision
  • Ability to meet strict deadlines
