Description

Job Summary:

The Medical Records Specialist is responsible for providing and maintaining patient records and enforcing patient confidentiality for medical records. Position requires attention to detail, ability to work both independently and within a team, and strong communication skills.

Duties and Responsibilities

  1. Responds to questions, complaints, or issues that arise concerning privacy issues.
  2. Implementation of policies and compliance to meet HIPAA privacy requirements.
  3. Protects the confidentiality of patient and organization information through effective controls and direct supervision of medical records.
  4. Ensures medical records are maintained in compliance with state, federal, HIPAA/HITECH and other regulations in accordance with Health West policies and procedures.
  5. Maintains comprehensive working knowledge of state, federal, HIPAA regulations.
  6. Access location of medical records through chart tracking system; logs chart in and out of records room.
  7. Maintains accurate audit logs of requests for medical records according to HIPAA/HITECH and Health West policies and procedures.
  8. Serves as the direct contact for answering written and telephone requests for medical records both internally and externally to Health West.
  9. Invoices and collects non-patients medical record charges.
  10. Audits medical record patient payments and provides clinical training when necessary.
  11. Conduct monthly site visit and provides needed medical record training for all Health West sites.
  12. Audit clinics for possible privacy violations and immediately report these to the privacy officer.
  13. Coordinates efforts for compliance to subpoena requests regarding medical records, adhering to strict procedures.
  14. Recommends updated medical request forms as needed
  15. Other duties as assigned.

Qualifications


Qualifications

  • High school diploma or GED
  • 2 years of related experience

Skills:

  • Excellent customer service, interpersonal and communication skills.
  • Attention to detail.
  • Deadline-oriented.
  • Ability to utilize EMR system effectively.
  • Word processing and PC skills with ability to work in Microsoft Word and Excel.
  • Strong knowledge of HIPAA regulations and patient confidentiality best practices.
  • Demonstrates autonomy, organization, assertiveness, flexibility, and cooperation in performing job responsibilities.
  • Willingness to travel to all Health West locations.
