Functions as a combination of a Medical Assistant and Patient Account Representative. Works directly with a provider as a liaison between the patient and provider. PRIMARY RESPONSIBILITIES: Evaluation and management of all patients in a medical assistant capacity. Greets all patients and visitors and answers phone with courteous, pleasant manner. Maintains complete documentation regarding phone calls into the electronic medical record. Responds to calls in a timely manner. Provide telephone triage services based on clinical knowledge and appropriate medical advice with the assistance and direction of the provider. Provides education to patients related to practice specialty. Completes necessary paperwork for patient referrals. Keeps work area neat and organized. Interview patient, takes patient vital signs and history to collect clinical data elements. Obtain and document medication list, allergies, vital signs, patient complaint, and medical history in patient chart. Communicate concerns and/or problems regarding the patient to the provider. Remain available for the provider as much as possible. Assist provider in patient rooms, if needed. May function as a scribe to the provider. Communicates with other departments to assist with patient flow. Explain diagnostic procedures to patients under the direction of the Provider or Clinical Coordinator. Schedule patient visit based on the type of service, as well as outside procedures at hospital and surgery center by providing the demographic and authorization/per-cert information Assist with the physician hospital schedule. Maintains appointment schedules including patient appointment, follow up visits, physician appointment and procedure schedules, meetings, etc. Scan all information for future reference. Communicate to the patients their insurance benefits, deductibles and deposits that will be due for upcoming procedures or surgeries. Verify insurance information is accurate. Coordinates the accurate and correct billing for clinic charges. Reviews all packages for accurate billing of charges. Reviews diagnosis and CPT information for errors. Understanding of required authorizations for pharmacy, procedures, and other medical services in the clinic or referring place of services. Request authorizations/pre-certs from payers. Take personal accountability for the patient satisfaction scores that are directly related to this position. Offer process improvement suggestions to increase the patient satisfaction scores to the 99th percentile. Assist other providers in the practice as requested by management. Assist in process improvement based on the Patient Satisfaction Reports Performs other assignments as requested. SERVICE EXCELLENCE: Provides prompt, courteous service to all internal and external customers. Prioritizes and addresses customer needs and demands in a professional manner, providing follow-up and developing cooperative relationships. Identifies opportunities and recommends methods to improve customer service, work processes and financial performance. Assists in design and implementation of quality improvement initiatives on departmental and organizational levels. Assists team members in completion of tasks and assignments to ensure continuity of service. Orient new co-workers and actively support team development. AGE SPECIFIC CONSIDERATIONS: May provide patient care for people of the following age group: Neonates (Birth – 28 days) Pediatrics (29 days – 14 years) Young Adult (15 years – 24 years) Adults (25 years – 64 years) Geriatrics (65 years and older) QUALIFICATIONS: Educational and/or Professional Qualifications: Graduate of a Medical Assistant training Program preferred. Previous Experience Must possess good interpersonal, communication and organization skills. Two years prior experience within a business office environment required. Other Special Training or Skills 1. Receives on the job training for office specific tasks 2. Knowledge of medical terminology. 3. Ability to learn quickly from oral and written instructions. 4. Typing skills required. 5. Demonstrates good interpersonal skills. Licenses/Certifications 1. Certification as a Medical Assistant preferred. SUPERVISION EXERCISED: No direct line of supervision. CONTACTS INSIDE AND OUTSIDE THE ORGANIZATION: Daily contact with Supervisors/Managers Daily contact with Physicians Daily contact with Patients/Family members Daily contact with Coworkers Daily contact with Providers Daily contact with Payers EQUIPMENT, MATERIALS, VALUABLES: Patient care equipment. Computers and other office equipment. SCHEDULE: Typical work hours are Monday through Friday from 8:00 a.m. to 5:00 p.m. Adjustments to schedule may be made to meet patients’ needs. HAZARDS: Job duties will include tasks which have the potential for daily exposure to patient blood/body fluids Daily exposure to sharp objects/latex PHYSICAL EFFORT: [Note: In terms of an 8 hour day (shift length), “Occasionally” equals 1-33%, “Frequently” equals 34-66%, and “Continuously” equals 67-100% of the time]. Intermittent sitting. Constant standing and walking. Frequent lifting, carrying, pushing, pulling, bending, squatting, reaching, and twisting. Occasional kneeling and stair climbing. Must be able to see (near, far, and have depth perception), hear, talk, have use of right and left hands, have dexterity in fingers. Information Security and Compliance Responsibilities: Maintain compliance with training directives required by the organization pertaining to Information Security, Acceptable Use Policy and HIPAA Privacy and Security. Adhere to and comply with the organizations Acceptable Use Policy. Safeguard information system assets by identifying and reporting potential and actual security events to the organizations Security and Compliance Officers.
