About Head Pain Institute
At Head Pain Institute, we do not just treat symptoms, we diagnose and treat the cause of our patients’ discomfort to enable our patients to live their lives more comfortably. Our mission is to use state-of-the-art clinical treatments proven to alleviate pain over the long term without the dangers of addiction to prescribed medications. We are staffed with highly qualified and skilled doctors and a compassionate team of patient care staff.
Position Description:
The New Patient Coordinator is an individual who is highly skilled in interacting with patients and can manage additional administrative tasks.
Position Responsibilities:
  • Receive and make calls to patients ensuring their first experience with HPI is exceptional.
  • Ensure new patients are scheduled for their appointment and are prepared for their visit with the proper documentation, approvals, and expectations.
  • Review accuracy and completeness of new patient information and ensure that all supporting documents are present.
  • Contact patients after receiving referral submissions by email or contact with the referring doctor offices.
  • Prepare and send letters to referring physicians and other patient providers detailing clinical information related to their diagnosis, start of treatment, progress and completion of treatment.
  • Send “Thank You” notes to new patients.
  • Secure patients’ demographics and medical information by using great discretion and ensuring compliance with HIPAA regulations.
  • Completes projects and other duties as assigned.
Position Requirements:
  • High school diploma or a GED. Associate's degree preferred.
  • Healthcare background preferred but not required.
  • An understanding of physician's medical notes and medical terminology.
  • A great communicator, with exceptional writing and verbal skills. 
  • Works well in a multitasking role.
  • Ability to project a professional image.
  • Strong knowledge of regulatory standards and compliance requirements.
  • Working knowledge of medical business office procedures and basic accounting, and detailed understanding of ICD and CPT.
  • Insight into reimbursement and claims procedures.
  • Full-time.
Other Requirements:
  • The successful candidate will enjoy working in a fast-paced environment and have prior experience.
  • Keyboarding skills.
  • Ability to multi-task.
  • Exceptional customer service skills.
  • Great attitude and teamwork.
  • Ability to work with minimal supervision.
  • Medical experience.
