HCI Systems is Hiring a Purchasing Assistant Near Ontario, CA

HCI Systems Inc. is a fast-growing California-based low-voltage contracting company, and we’re currently seeking an Purchasing Assistant to join our team. This critical role requires a dynamic and motivated individual to manage high-volume purchase orders and purchasing responsibilities, ensuring seamless coordination and collaboration with our vendors.

Primary Responsibilities:

  • Manage a high volume of purchase orders, ranging from 50-100 per day.
  • Collaborate closely with our Purchasing Supervisor and Controller to develop and enhance order management processes.
  • Create, edit, review and follow up with vendors regarding placed orders.
  • Review job budgets to ensure material is within the allocated budget.
  • Responsible for submitting completed purchase orders to various vendors.
  • Respond promptly to routine and incoming inquiries.
  • Work closely with the Project Managers to ensure expectations, deadlines and service quality standards are met.
  • Collaborate with various internal departments such as Sales, Operations, Warehouse, Field Technicians, and more.

Qualifications:

  • 3 years of experience with high-order purchase orders and order processing.
  • Prior purchasing experience in construction, electrical, HVAC, fire protection, and alarm systems is preferred.
  • Proven ability to effectively manage multiple responsibilities or handle a high workload simultaneously.
  • Strong analytical skills and time management skills to prioritize purchase requests and address urgent orders promptly.
  • Ability to quickly learn new concepts while maintaining a high attention to detail.
  • Exhibit exceptional organizational skills and strong customer service skills.
  • Demonstrate clear and effective communication skills.
  • Experience with Word, Excel, and Outlook.
  • Must be able to pass a background check, MVR check and drug screening.
