THE POSITION

Hawken School is seeking a full-time Administrative Coordinator for Auxiliary Programs. Auxiliary Programs provides a variety of programs and services to faculty, staff, students, families, and the community, including the Extended Day Program, Passport Classes, Summer Camps, Passport Camps, and Facility Rentals. This position will also have responsibilities within the Transportation Department, providing support to the Transportation Supervisor on an as-needed basis.

This is a 12-month position, reporting to the Director of Auxiliary Programs.

Work Hours: Monday–Friday, 9:45 a.m.–6:15 p.m. (with a 30-minute lunch break)

ESSENTIAL DUTIES & RESPONSIBILITIES

AUXILIARY PROGRAMS

  • Support the overall needs of the Auxiliary Programs department
  • Responsible for providing information, answering questions, and responding to requests for information: writing and distributing emails, correspondence memos, spreadsheets, letters, forms, and other documents
  • Prepare, update, and monitor the Passport and Summer Camp programs on Camp Brain; coordinate and set up individual accounts for each camp to properly account for camp deposits and all receivables
  • Assist with specialized classes and camps, i.e. One Day at a Time Classes, Winter Passport Camps, Spring Passport Camps
  • Coordinate camp communications as provided from various summer departments and programs to disseminate information to camp families, summer staff, and administrators
  • Assist the Director with the preparation and dissemination of summer employment agreements, as well as the coordination and formatting of camp staff binders
  • Communicate with HR and the Business Office to ensure all summer employees are properly onboarded, including fingerprinting, payroll setup, and new hire paperwork
  • Coordination of field trips and on-campus activities for all summer programs

EXTENDED DAY PROGRAM

  • Develop and manage safe, nurturing, and well-supervised before-school and extended day programs, in partnership with other departments, including the Business Office and dining services, to ensure a positive and engaging experience for all families, students and staff
  • Develop and plan age- and developmentally-appropriate activities that incorporate program goals into the routines
  • Manage all program activity and related room preparation
  • Proactively respond to any issues and concerns that might arise during the extended day program hours and communicate any issues to the Director of Auxiliary Programs
  • Oversee extended day staff, including day-to-day supervision and coordination, substitute teacher replacements, and payroll management

TRANSPORTATION

  • Responsible for assisting the Transportation Supervisor in specialized operations for the department, per approved schedule by the Director of Auxiliary Programs
  • Assist in coordination of routes, student confirmation mailings, vehicle record-keeping and department updates; distribute routing information to students, parents, and administrators
  • Initiate monthly Transportation Redistributions (internal allocation of transportation costs)
  • Maintain updated rosters with public schools (summer and occasional mid-year)
  • Coordinate Transportation Registration Site and reporting (summer)
  • Manage Public School communications regarding schedule changes, including school closures (throughout the year)
  • Billing and financial aid calculations and adjustments for add/drop changes

QUALIFICATIONS

  • Associate’s or Bachelor’s degree preferred
  • Proven administrative experience including experience managing financial details
  • Excellent time-management skills and ability to multitask and prioritize work projects
  • Attention to detail and problem-solving skills
  • Experience with Microsoft and Google platforms and database management software
