Under the supervision of the Manager of Medical Education, this position will be responsible for coordinating the day-to-day operations of the Medical Education Department in the following areas:

1. Compliance of regulatory requirements (ACGME, NRMP, AAMC, CODA, HHC, etc.)

2. Finances (Budgets, Accounts Payable, Reimbursements)

3. Contracts (Program Letter of Agreement, Student Affiliation Agreements, Grant Agreements, Away Rotation Agreements, Visiting Resident/Fellow Agreements, etc.)

4. Projects (specific to quality improvement of programs and institution)

5. Support (program, site, and institutional levels)

6. Standard Work/Best Practices (GME UME)

All activities are performed in accordance with accreditation, company, regulatory, hospital, guidelines.

Job Summary

  • Provide efficient, accurate, and timely operational support at the institutional level to ensure effective day-to-day operations of the department. May also provide administrative support at the site and program levels on an as needed basis.
  • Collaborates with Manager of Medical Education, program administrators, and site administrators to ensure compliance with program, regulatory, hospital, and requirements.
  • Collaborates with Manager of Medical Education to create standard works/best practices to ensure proper execution of program, site, and institutional operations. Assists with training and development of various internal and external stakeholders to ensure proper execution of policies and procedures. Will have administrative oversight to maintain standard works/best practices and policy/procedure manuals.
  • Collaborates with Manager of Medical Education on preparing/distributing reports of program, department, and/or institutional data that is used for company, departmental, regulatory, and financial decision-making. Responsible for collecting and synthesizing various types of data from different reporting areas on a regular basis to ensure accuracy of information being shared with internal and external stakeholders. Uses graphs, infographics, and other methods to visualize data. Exercises judgement as needed to ensure timely distribution of information.
  • Collaborates with Manager of Medical Education on time sensitive and complex projects related to quality improvement of GME and UME program operations. Coordinate completion of projects and information gathering activities of reporting areas. Completes assigned portion of projects with a high level of accuracy.
  • May perform or coordinate varied and complex processes and determine the most appropriate methods and procedures. May facilitate, coordinate, or oversee process(es) as needed. May collaborate with other team members on certain projects/assignments as needed. Requires planning, analysis and judgment to achieve desired outcomes.
  • Takes action based on independent judgment, understanding the impact across the organization. Involves others both within and outside the area as needed, or refers to a higher authority when appropriate. Initiate proactive and independent research, action, and communications with regard to activities of the department. Respond to complex inquiries regarding own work.
  • Maintains departmental files in a complete, accurate, and timely fashion in accordance with the standards of the department and regulatory agencies, and suggests changes to meet operational needs. Will have administrative oversight to update and maintain internal and external websites of the department.
  • Participate in activities and completion of documents dealing with sensitive and confidential issues and information.

Qualifications

o Required: High school diploma or equivalent

o Preferred: Bachelor's degree or equivalent

  • Required

o Minimum 3-5 years of high-level administrative experience in an academic hospital setting, or demonstrated competency generally obtained by working in medical education, graduate medical education, and/or undergraduate medical education.

o Good organizational skills with attention to detail, multi-tasking, and prioritization.

o Proven ability to be an effective communicator including verbal, written and listening skills.

o Solid understanding of data analysis/reporting concepts.

o Customer service orientated with great interpersonal skills.

o Works effectively both on teams and independently, with an ability to navigate relationships with colleagues, management, and stakeholders.

o Ensures high level of confidentially.

o Facile with Microsoft Office Suite, and shared drives (Microsoft OneDrive, Enterprise), Adobe Pro, Outlook/Office 365, Vision, shared calendars/inboxes, multi-line phones. Ability to learn/navigate new software, video conferencing, and other technology comfortably.

o C-TAGME Certified or C-TAGME Eligible.

  • Preferred

o An interest in healthcare administration, healthcare management, medical education, graduate medical education, and/or project management.

o Experience working in graduate medical education (GME) and/or undergraduate medical education (UME) at the program or institutional level highly desired.

o Knowledge of GME/UME programs/software: New Innovations, RedCap, MedHub, OASIS, VSLO, Thalamus, ERAS, AMION, and/or ACGME WebAds.
