JOB DESCRIPTION
Summary/Objective The office support position is responsible for front office activities, including answering phone calls, greeting visitors, interacting with staff and consumers, clerical digital and physical filing, preparing paperwork and books for trainings and new programs, ordering office supplies, monetary data entry.
Essential Functions
Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.
Responsible for housekeeping of office facilities as well as coordinating maintenance of office areas and equipment.
Orders approved office supplies in accordance with company purchasing policies and budgetary restrictions.
Organizes physical files while also scanning and digitally filing the paper copies.
Prepares training binders and new consumer books.
Maintains spreadsheet of locations and staff ie; cell phones, e mails.
Prints documents for programs on both a planned and as needed basis
Distribution of approved training schedules monthly
Prepare sign up sheets for meetings, trainings
Routes calls to appropriate departments
Creates community books
Schedule all employees for various trainings
Financial data entry
Attention to detail a must.
Scanning certificates to employee files.
Detailed description:
Provide clerical support
Provide support by filing typing copying binding scanning etc.
Maintaining and distribution of training and learning schedules
Exhibit polite and professional communication by phone, email and verbally
Ensures operation of equipment calling for service as needed.
Provides information by answering questions and requests.
Maintain supplies and anticipates future needs.

Work Environment This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
This position requires the ability to occasionally lift office products and supplies, up to 50 pounds
Position Type/Expected Hours of Work This is a full-time position, and hours of work and days are Monday through Friday, 8:30 a.m. to 5:00 p.m.
Travel Minimal travel is expected for this position.
Required Education and Experience
At least one year of previous experience in performing similar essential functions
Preferred Education and Experience
Associates Degree
Two years of experience in performing similar functions
Additional Eligibility Qualifications Must have a valid driver’s license and reliable vehicle
Work Authorization/Security Clearance Must be eligible to work in the United States without sponsorship.
