Who you are – Manager of Board & Executive Affairs

You are a dynamic, detail oriented, intuitive person with the ability to develop relationships, build rapport and become a trusted team member. You are able to provide everyone you assist or support with a high level of service, have strong organization and multi-tasking skills, and are searching for a rewarding career where you are valued and respected.

What you'll do

Board Relations Administration:

  • Serve as the primary liaison between the board of directors, executive leadership, and other stakeholders.
  • Coordinate all aspects of board meetings, including scheduling, agenda preparation, and distribution of materials.
  • Determine and manage critical dates for the Board with regards to nominating deadlines, training, and any other special projects.
  • Initiative-taking with preparing presentations, arranging special guests, and coordinating additional topics for Board Meetings.
  • Facilitate activities needed by various committees i.e.: Supervisory Committee, Condon Committee GOVCOMM etc.
  • Responsible for planning and facilitating annual strategic offsite meeting.
  • Coordinate all Board travel (conferences etc.)
  • Responsible for reconciling and submitting all BOD expenses.
  • Attend board meetings, record minutes, and follow up on action items and decisions.
  • Manage board communications, including correspondence, requests for information, and meeting follow-ups.
  • Maintain accurate records of board membership, terms, attendance, and committees.

Executive Administrative Support:

  • Provide high-level administrative support to executive leadership, including calendar management, meeting coordination, and travel arrangements.
  • Coordinate and plan all executive-level meetings, events and team activities including logistics and agendas.
  • Prepare and edit correspondence, presentations, reports, and other documents as needed for official company records.
  • Screen calls, emails, and visitors, prioritizing and responding to inquiries on behalf of executives.
  • Maintain confidential files, records, and databases, ensuring accuracy and accessibility.
  • Assist with special projects, research initiatives, and other tasks as assigned by executives.
  • Manage administrative tasks such as document preparation, filing, record-keeping, and office supply management.
  • Coordinate executive-level meetings, events, and conference calls.
  • Oversee confidential and sensitive information with discretion and professionalism.
  • Support the overall efficiency and effectiveness of executive leadership and board governance functions.

Stakeholder Engagement:

  • Cultivate positive relationships with board members, executives, staff, and external stakeholders.
  • Coordinate stakeholder engagement activities, including meetings, events, and communications.
  • Serve as a resource for board members and executives, addressing inquiries and facilitating connections as needed.
  • Collaborate with cross-functional teams to support initiatives that align with organizational goals and priorities.

Qualifications:

  • Bachelor's degree in business administration, communications, or a related field
  • Previous experience in executive administrative support, board relations, or corporate governance roles.
  • Excellent interpersonal, communication, and relationship-building skills.
  • Proactive and able to anticipate needs and take initiative.
  • Strong organizational and time management abilities, with keen attention to detail.
  • Flexibility and adaptability to evolving priorities and challenges.
  • Proficiency in Microsoft Office Suite and board management software.
  • Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
  • Discretion and integrity in handling confidential information and sensitive matters.
  • Professionalism, diplomacy, and an initiative-taking approach to problem-solving.
