The Storeroom Supervisor is ultimately responsible for the effective execution of all activities in the storeroom, and activities involving direct interface with maintenance, operations, or management. He/she is responsible to the Bus Materials Manager for the safety and security of all materials stored in the storeroom, and for the effective and efficient movement of materials as directed by maintenance, operations, or management.

Essential Job Functions:

In performance of his/her responsibilities, the Storeroom Supervisor oversees the proper and timely service to maintenance and operations. His/her duties include:

  • Employees – Train, develop and retain a strong Storeroom team.
  • Warehouse organization, layout, and capacity management – Supervises and reviews the daily organization and operation of the warehouse, ensuring that the warehouse is fully capable and functional in its layout and capacity to adequately support the material needs of maintenance and rail operations.
  • Receipt of Incoming Materials – Supervises the receipt of incoming material shipments, verifying that appropriate receipt and Quality Control (QC) inspections are completed in a timely manner, and appropriate Computerized Maintenance Management System (CMMS) transactions are made to complete the receiving process.
  • Storage of Materials – Ensures that materials in the warehouse are stored properly, inspected, and cared for through general material handling and warehousing principles. Ensures effective utilization of Lay-up Maintenance and Shelf-Life Programs, supervises, and participates in the accomplishment of Inventory Cycle Counts and Physical Inventories, Root Cause Analysis and Accuracy.
  • Warehouse Security – Oversee warehouse security through continuous monitoring of the security program, frequent review of physical security measures, and recommends modifications to the program as required.
  • Staging and Delivery of Materials – Supervise staging and kitting of materials to support Maintenance Work Orders and Planning, timely delivery of materials to shop or maintenance sites, preparations for shipment of items as required, and preparation of materials for processing to scrap.
  • Shipping of Materials – Supervise the packaging and completion of required documentation to support shipping of materials from the site to vendor shops or manufacturer repair facilities.
  • Obsolescence – Monitor obsolete and non-moving materials to identify and recommend items for disposition. Supervise the preparation of items as required for sale, return, or scrapping.
  • Computerized Maintenance Management System (CMMS) – Supervise all operations in the CMMS to ensure proper entry of each transaction representing receipt, issue, movement, shipment, and handling of materials.
  • KPI’s – Measure, track and monitor all assigned Storeroom KPI’s (Key Performance Indicators).
  • Training – Arrange and schedule regular training for warehouse personnel. Conduct On-the-Job training as necessary to maintain personnel proficiency in warehouse operations.
  • Housekeeping/5S – Supervise and participate in maintaining a clean and organized Storeroom as well as any point-of-use inventory storage areas.
  • Manage records created and received in compliance with the Hampton Roads Transit Records Management Policies and Procedures.
  • Prepare and/or coordinate with other departments any documentation required in support of the FTA triennial reviews, drug and alcohol audits, independent audits, state audits, EEO Program audit, etc.
  • Other Duties – Perform other duties as may be assigned by higher authority.

Relationships:

  • Reports to the Manager of Bus Materials in all safety, material, warehouse, and fiscal issues.
  • Works closely with and in conjunction with the Maintenance Supervisors, Maintenance Manager
  • in ensuring adequate management of materials and material flow to support those operations.
  • Directly supervises all warehouse personnel.

Required Knowledge, Abilities and Skills essential to Job Functions:

  • Easy to contact and to communicate and work with
  • Exhibits a sense of urgency when necessary.
  • Good oral and written communication skills
  • Ability to issue and explain good instructions.
  • Good delegation skills, willing to give team members the opportunity to grow.
  • Ability to direct, coach, support and delegate as individual team members may require.
  • Working knowledge of computer systems, ability to learn CMMS input, retrieval, and use.
  • Good planning and organizational skills
  • Understanding of the proper use of Work Orders, priorities, and schedules
  • Experiential knowledge of FIFO (First in First out) inventory management
  • Experiential knowledge of the ABC stock classification system
  • Ability to work in a team environment, fully supporting the goals and objectives of the maintenance and rail operations efforts.

Required Software Knowledge and Skills essential to Job Functions:

Proficiency in using computer systems and the listed software applications associated with performance of assigned work is essential. Basic problem-solving skills associated with software applications used is expected. Software usage relevant to job duties will be evaluated.

Safety Responsibility:

Perform all job duties and responsibilities in a safe manner to protect oneself, fellow employees, and the public from injury or harm. Ensure all employees and contractors are properly trained and understand all rules, safety policies, and procedures to perform their work functions safely. Promote safety awareness by attending safety committee meetings and adhering to all safety procedures and policies. Actively conduct workplace hazard analyses for all employees to maintain a safe work environment. Encourage employee safety reporting program and communication of hazards to the Safety Department. Responsible for the timely mitigation of all unacceptable and undesirable safety risks. Accountable for safety performance within their functional area and achieving the agency’s safety goals.

Training and/or Education:

Associate degree from an accredited college or university

Required Experience:

Minimum of 5 years materials handling and supervisory experience commensurate with duties and responsibilities of the position

Licenses or Certificates:

  • Possess a valid Driver's License. Acquire a Virginia Driver's License within 60 days after the date of hire (in instances when an out of state license is not the applicant's current state of residence).
  • Certified/Qualified forklift operator.
