Position Overview

The Hampton Roads Community Health Center is looking for an Assistant Manager for Clinical Support Services. This position is responsible for assisting with the management and oversight of clinical support services including 340B program, patient referral coordination, medical records maintenance, and medication services. Reports to the Clinical Support Services Manager.

Key responsibilities include:

Assists with the design and improvement of operational processes and guidelines to ensure high clinical quality and service excellence in patient care; collaborates with the leadership and other stakeholders to implement policies and procedures and provides adequate oversight; and monitors and improve key performance indicators to measure success and engagement across different teams.
Assists with developing and maintaining efficient workflows by maintaining understanding of processes and procedures; monitors service indicators and internal/external customer feedback to design; and recommends and implements operational and system changes.
Assists with the management of daily operations of clinical support staff including planning, goal setting and quality assurance; and works closely with senior leadership and clinical support team to proactively support, develop, and improve processes.
Performs administrative support work such as word processing, creating spreadsheets, data entry and retrieval; orders, monitors and distributes program supplies/resources; and other information to ensure accuracy and conformance to established procedures and policies; provides guidance to patients regarding patient responsibilities and rights; and adheres to patient confidentiality guidelines.
Performs other duties as assigned.

Required Qualifications:

Bachelor’s degree in Healthcare Administration, Business, or related field, three (3) to five (5) years of progressively responsible experience in management, experience in nursing, case management or clinical operations or oversight; one (1) to three (3) years of supervisory experience, or any equivalent combination of education and experience.

Successful candidates will possess:

Required Knowledge
  • Healthcare Management – Knowledge of planning, directing, and coordinating non-clinical services to include specific knowledge of healthcare operations and technology.

  • Case Management
    - Knowledge of case management techniques, principles, and practices to evaluate and coordinate the delivery of public assistance to customers and their families

  • HIPAA
    – Knowledge of the federal Health Insurance Portability and Accountability Act (HIPAA) to ensure privacy and safeguard patient information.

  • Supervision
    - Knowledge of leadership techniques, principles, and procedures to assign work, schedule, supervise, train, and evaluate the work of assigned staff.


Required Skills

  • Project Management - Strong organization and project management skills; ability to prioritize, organize, plan, and implement services as well as handle multiple projects/problems simultaneously

  • Computer Skills
    – Utilizes a personal computer with word processing, spreadsheet, and related software to effectively complete a variety of financial tasks with reasonable speed and accuracy.

  • Time Management
    - Plans and organizes daily work routine. Estimates expected time of completion of elements of work and establishes a personal schedule accordingly. Implements work activities in accordance with priorities and estimated schedules.

  • Interpersonal Relationships
    – Develops and maintains cooperative and professional relationships with employees and all levels of management to include representatives from other departments and organizations.

  • Communication – Excellent communication skills; ability to effectively communicate ideas and proposals verbally and in writing, to include the preparation of detailed logs which include numerical information.

  • Judgment/Decision Making
    — Evaluates the best method of research and then exercises appropriate judgment in establishing priorities and resolving complex matters. Considers the relative costs and benefits of potential actions to choose the most appropriate one.

  • Coordination of Work
    – Ability to establish and implement effective administrative programs and procedures. Ability to plan and organize daily work routine. Establishes priorities for the completion of work in accordance with sound time-management methodology. Attends and maintains a calendar for meetings, deadlines, and events. Performs a broad range of supervisory responsibilities over others.
