Administrative Secretary - Pupil ServicesSummary Performs full range of secretarial and administrative duties for the Director of Pupil Services. Assists administrators, principals and special services staff with communication regarding program services. Attributes High school education. BA preferred Five or more years office experience Experience using Microsoft Office including Word and Excel, accounting database, student information and special education database, online ordering, Google docs and Google calendar. Strong interpersonal communications skills and positive public relations demeanor. Strong listening and communication skills. Ability to manage conflict. Knowledge and understanding of office procedures and operation. Such alternative experience to qualify performing the specified job duties. Speed and accuracy with high volume of detailed work with discretion and confidentiality. Objectivity and discretion. Reports to Director of Pupil ServicesResponsibilities1. Process Individual Special Education Programs (IEPs) and maintain special education files for all Out of District and Clarke Mainstream Individual Educational Programs.2. Verify and maintain all student special education records in accordance with state statutes and timelines. 3. Maintain attendance for all Out of District students.4. Schedule all Out of District and Clarke Mainstream IEP meetings and Early Intervention Transition meetings, including sending compliant meeting invitations and creating draft IEPs.5. Enter students from Early intervention into the Special Education system.5. Encumber funds, enter requisitions, maintain contract binder for special education services and grants. 6. Maintain a running record of grant spending and spending for contracted services.7. Maintain daily records and report periodically the attendance of Medicaid-eligible students in the district. 8. Implement all Medicaid required record keeping, reporting, notifications, and follow-up. 9. Maintain and update separate files of all inactive special education students. 10. Serve as liaison between the Pupil Personnel office with faculty, staff, students and families. 11. Distribute and receive written, phone and electronic correspondence among special staff. 12. Maintain and replenish inventory of pupil services office supplies and filing materials. 13. Maintain and update of annual school calendars and the Special Education Evaluation Compliance calendar.14. Coordination of annual special education summer services and programming. 15. Coordination and arrangement of special transportation .16. Account Payables for Special Education.17. Assist the Director with grants and state Indicator data collection.18. Other duties as assigned. Examples include, using a personal computer, filing, and copying. Visual/Auditory Skills: The employee is required to constantly read documents, personal computer screens and written reports for general understanding and routinely for analytical purposes. The employee must have the auditory ability to listen and comprehend. The employee is not regularly required to determine color differences. Job Environment: Work is generally performed within the Central Administrative Offices of the Hampshire Regional School District.
