Hamilton Company is Hiring an Administrative Specialist Near Reno, NV

Responsibilities

The Administratve Specialist is responsible for providing a variety of services and support to the Hamilton Company Robotics team. They help the office to run efficiently and smoothly by performing clerical support tasks. Their responsibilities often include preparing and processing documents, arranging meetings and appointments, monitoring the expenditures, answering calls and correspondence, handling the inventory and procurement of office supplies, and developing strategies to optimize office operations. The Administrative Specialist will work onsite in our Sausalito, California office supporting the sales and service team. Responsibilities will include:

  • Active participation in office management, including handling general clerical tasks.
  • Support the Logistics, Support Services, Sales, and Applications team.
  • Ensure meeting spaces are properly requisitioned ahead of schedule.
  • Manage office equipment and supplies, and ordering new equipment and supplies as needed.
  • Offer assistance to accounting department to provide manage invoices, payments, and receipts.
  • Represent department managers or other senior-level officers in meetings, including taking notes and recordings as needed.
  • Process purchase requisitions as requested/needed.
  • Submit capital requests for new or existing employee laptop computers.
  • Booking and arranging travel, transport and accommodations for employees and customers.
  • Manage Robotics demo inventory, including instrumentation and associated parts.
  • Add new users to Resource Center and SharePoint.
  • Maintain department territory maps and phone list.
  • Organize customer meetings to Reno headquarters including meal planning, travel accommodations, conference room bookings.
  • Enter new leads into database including those from the website and tradeshows. Maintain daily undistributed leads.
  • Assist when needed for tradeshow assistance backup, and yearly applications and sales meetings.
  • Ship literature for sales and outside distributors.
  • Coordinate annual order of Hamilton logoed shirts for field apps/sales.
  • Coordinate ordering of supplies as needed.
  • Maintain licensing lists and renewals for Robotics: Linked in Navigator, Pluralsight, etc.
  • Assist management with other clerical tasks as needs arise.

The Administrative Specialist will also assist with business development responsibilities:

  • Administration and qualification of all applicable leads.
  • Collaborate with field-based Regional Sales Managers to identify, qualify and drive sales opportunities.
  • Manage post-sale follow-up (first week, six months and annually) to nurture existing relationships and increase revenue through repeat business.
  • Develop and grow the current customer database and keep detailed records accurately in HubSpot.

Qualifications

  • Fluent in English (Written and spoken).
  • Comfortable multitasking and handling multiple requests from different individuals and departments.
  • Ability to work quickly and in a potentially high-stress environment.
  • Strong communication skills and extremely self-motivated when managing communication channels.
  • Highly organized and capable of creating organizational systems that others easily utilize.
  • Ability to use common office equipment, such as modern phone systems, fax machines, and copy machines.

Education/Experience

  • Two-year degree or specialized school degree in Life Sciences, Finance, or English required.
  • Experience working in an administrative/clerical field required.
  • Working knowledge of Microsoft Office Suite, including Word, PowerPoint, and Excel required.
