JOB DESCRIPTION

Position title: Director of Finance

Department: Administration

FLSA Status: Exempt

Reports to: Executive Director

SUMMARY:
The Director of Finance is entrusted with accounting and daily financial operations and responsibilities under the direction of the Executive Director for Habitat for Humanity of Spartanburg (HFHS). This position will be responsible for assessing, researching, and assisting in development, implementation, and maintenance of accounting principles, practices, and procedures to ensure accurate and timely financial statements and daily operations. This position is responsible for tight deadlines including general ledger preparation, financial reporting, year-end audit coordination, and the support of budget and forecast activities.

ESSENTIAL DUTIES:
Manage accounting activities, ledgers, audits, and reporting systems ensuring compliance with GAAP standards and regulatory requirements for non-profits. Serve on the Senior Leadership Team for the organization.

Accounting & General Responsibilities:

  • Organize and manage daily, monthly, and annual close processes, including daily bank reconciliations, monthly financial reports, finance dashboard report, mortgage management reports, collateral reports, debt schedule, ReStores’ purchase products inventory analysis reports and cost assessments.
  • Monitor Habitat ReStores’ inventory and cash controls including, but not limited to, daily deposit review, surprise cash counts, physical inventory counts and other means consistent with HFHS policies.
  • Take the initiative to make recommendations for changes that would improve the accounting controls and make the accounting activities more efficient.
  • Prepare and pre-approve accounts payable list for weekly check runs prior to Executive Director review and approval.
  • Oversee work of supportive accounting staff, (i.e., Organization Administrative Assistant, Director of Program Services), and provide feedback and development opportunities.
  • Monitor & prepare weekly and yearly Cash Flow Forecasts.
  • Monitor & prepare weekly temporary restricted funds activities.
  • Manages grant funds and reporting (Federal, State, County, City, or from other funding providers).
  • Coordinate with internal and external partners to provide appropriate assistance and feedback related to accounting and budget issues.
  • Record sale of property and book mortgage receivables for traditional mortgages at time property is closed, and reconcile mortgage receivable balances, escrow balances and all other mortgage-related with QuickBooks and servicing mortgage Company.
  • Provides general oversight of mortgage-related and loan origination activities.
  • Reconciles Average Annual Return (AAR) mortgages over/under payment activity including communication with banks and servicing company.
  • Assist Executive Director with the preparation and presentation of various financial reports and annual budget activity for the affiliate. Responsibilities include:

1. Preparation of monthly financial reports for presentation to the FinanceCommittee and Board of Directors including:

a. Balance Sheet

b. Statement of Activities

c. Expenses for Administrative, Construction, and ReStore departments.

Audit:

  • Coordinate and lead the annual Financial Statement audit and 990 processes, serving as the principal liaison with external auditors; work with management to assess audit recommendations and implement changes to processes where appropriate.
  • Coordinate and lead the annual Workers Compensation Audit.
  • Work with management to implement, update, review and maintain a system of internal controls to ensure adequate safeguards for assets of organization, and that all financial reporting is prepared in compliance with all financial policies, and US GAAP.
  • All other duties that may be assigned by the Executive Director.

SKILLS AND QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

  • Associate’s degree, with at least 4 years work experience in accounts payable/receivable or related accounting field required. Bachelor’s Degree preferred.
  • Knowledge of general accounting principles, regulatory standards, and compliance requirements.
  • Knowledge of grant management and accounting.
  • Proficiency in Automatic Data Processing (ADP) payroll software or comparable system.
  • Proficiency of QuickBooks (Enterprise/Non-Profit).
  • Proficiency with Microsoft Office, especially Excel.
  • Ability to effectively communicate in a professional manner with vendors, staff, board members, families and anyone associated with Habitat for Humanity.
  • Ability to manage multiple projects, prioritize and meet deadlines.
  • Strong communication, organizational, analytical, problem-solving, and decision-making skills.
  • High degree of accuracy, attention to detail and confidentiality.
  • Ability to work independently and as a team member.
