SUMMARY

The Document Control Manager will be based in H.J. Russell’s Austin, TX, project office and will play a pivotal role in managing and overseeing the document control system for the City of Austin and Austin Airport. This position ensures that all project documentation is accurate, secure, and accessible, supporting the effective execution of the city of Austin's infrastructure projects.

Effective document management is crucial for the success of our projects. As a Document Control Manager, you will ensure that all project documents are properly managed and maintained, which is essential for project efficiency, compliance, and historical record-keeping. Your role supports our teams in maintaining the integrity and traceability of documents throughout the project lifecycle.

ESSENTIAL DUTIES & RESPONSIBILITIES include the following. Other duties may be assigned.

  • Develop and implement document control systems and procedures to ensure effective management of drawings and other construction documents.
  • Ensure all project documentation is properly stored, categorized, and accessible to relevant project teams.
  • Train project staff on document control procedures and best practices to ensure uniform compliance.
  • Conduct regular audits to ensure the accuracy and integrity of project documentation.
  • Collaborate with project managers, engineers, and other stakeholders to ensure that documentation meets internal standards and regulatory compliance.
  • Manage the receipt and transmission of documents to and from subcontractors and consultants to ensure timely and coordinated project flow.
  • Maintain detailed records of document processes and revisions to provide a clear audit trail for all project activities.

QUALIFICATIONS

REQUIRED QUALIFICATIONS

  • 5-7 years of experience in document control or related field, preferably within the engineering and construction sectors.
  • Proven ability to manage large sets of documents and familiarity with document control software.
  • Strong organizational skills and the ability to handle multiple tasks simultaneously in a fast-paced environment.

ADDITIONAL DESIRED QUALIFICATIONS

  • Bachelor’s degree in Information Management, Library Sciences, or a related field.
  • Professional certification in document or records management (e.g., Certified Records Manager).
  • Experience with industry-specific software such as Procore or similar project management tools.
