PURCHASING ASSISTANT – PURCHASING & CONTRACTS

SALARY
CL-26: $3,218 (Step A)
The compensation shall be paid at the step of the higher classification which is at least five (5) percent greater than the bargaining unit member's monthly salary, including any longevity increment.

SUMMARY: Under the direction of an assigned supervisor, perform a variety of specialized clerical duties related to purchasing materials, equipment, supplies and services; process routine purchases in assigned categories, and support Buyers and Contract Specialists as assigned.
EDUCATION: Graduation from high school or equivalent supplemented by formal training in business office technology or related field.
EXPERIENCE: Experience in a purchasing department or closely related assignment.

SUMMARY:
Under the direction of an assigned supervisor, perform a variety of specialized clerical duties related to purchasing materials, equipment, supplies and services; process routine purchases in assigned categories, and support Buyers and Contract Specialists as assigned.
ESSENTIAL FUNCTIONS:
Issue purchase orders in accordance with established guidelines and procedures.
Review and process routine requisitions and purchase orders; obtain current price verifications from telephone or written quotations.
Perform a variety of clerical duties in support of purchasing functions including data entry, filing, verifying and posting information; and duplicate and distribute a variety of materials as required.
Maintain purchase order data file; track, document and resolve purchase order delivery and discrepancy problems; arrange for, document, and track equipment warranty repairs.
Communicate by phone, fax and e-mail with vendors and suppliers to obtain information, expedite purchase orders, and resolve discrepancies and delivery problems.
Communicate with requestors as needed to clarify requisition specifications and requirements; suggest alternatives or substitutes as appropriate.
Operate a personal computer and peripheral equipment to input a variety of data and maintain various records and reports. Operate office equipment such as calculators, copier, fax, etc.
Answer telephone inquiries and provide information related to purchasing activities as appropriate.
Open, sort, stamp and distribute departmental mail.
SECONDARY FUNCTIONS:
Prepare and maintain a variety of records, files and reports related to purchasing activities as required.
Maintain departmental area(s) in a safe, clean and orderly condition; assure compliance with established safety procedures and regulations.
Maintain currency of qualifications for area of assignment.
Perform related duties as assigned.
KNOWLEDGE AND ABILITIES:
KNOWLEDGE OF:
Basic practices and procedures related to purchasing.
Methods of invoicing including discounts and taxes.
Basic financial recordkeeping techniques.
Types and sources of supplies and vendors.
Modern office practices, procedures and equipment, including telephone techniques and etiquette.
ABILITY TO:
Maintain financial records and prepare reports; perform mathematical computations quickly and accurately.
Communicate effectively both orally and in writing; understand and follow oral and written directions.
Operate a personal computer including various software packages to enter and retrieve data using keyboarding skills in an efficient and effective manner consistent with requirements of the position. Operate business machines including calculator, copier, fax, etc.
Interpret, apply and explain rules, regulations, policies and procedures.
Meet schedules and time lines.
Establish and maintain cooperative and effective working relationships with others.
