Position Overview:

The Export Logistics Coordinator is responsible for activities related to International Export transactions (Air, Ocean and domestic) acting as the liaison with all parties to ensure a smooth processing of shipments. Candidates will produce accurate shipping documentation; oversee all aspects of the shipment while assisting suppliers with bookings. Must be able to work in demanding environment, while maintaining clear communication with organization service providers.

Job Responsibilities:

  • Receiving, assisting with orders from internal sales department, comparing/requesting quotes, working with other departments to resolve queries.
  • Ensuring export inbox organized and cleared down daily.
  • Assisting in the management of day-to-day operational requirements to ensure high levels of customer satisfaction by proactively working with other departments.
  • Receive, Review, process and submit timely documentation such as shipper letters of instructions to forwarders for export ocean, air shipments and foreign to foreign shipments.
  • Ensure that all documentation meets 100% export regulations.
  • Communication internally and externally on all export matters.
  • Coordinate and communicate with freight forwarders to facilitate movement of freight for overseas transportation to ensure timely shipment and clearance.
  • Facilitate shipping labels for small package shipments via UPS, FedEx, and DHL.
  • Tracks, traces, and updates the status of shipments.
  • Preparing shipping and customs documentation in compliance with legal obligations, checking that they are correct and ensuring that paperwork for shipments is complete, filing paperwork and maintaining records in readiness for Government audits.
  • Executes required export documentation for multiple accounts in various stages of completion in a highly time sensitive environment.
  • Identifies risks and opportunities, when developing logistics plan and freight estimates for super loads, complex international shipments to ensure cost-effective, safe, and efficient transportation of company’s products.
  • Generate, file, maintain up-to-date reports, keeping accurate documentation, and database.
  • Ensure that all documentation meets 100% export regulations (commercial invoices, shipper export declaration, bill of lading).
  • Provide price quotations within established guidelines for air and ocean shipments.

Minimum Qualifications:

  • High School Diploma or Equivalent
  • 2 years of experience in logistics, trucking, and ocean freight experience.
  • Must be detail oriented.
  • Ability to critically think through the multiple-step process and follow up on several details.
  • High ability to handle multiple priorities without losing details.
  • Excellent communication, verbal, and written skills.
  • Strong Excel skills and some freight software knowledge.
  • Self-motivated and ownership of the position.
  • Ability to work under time pressure.
  • Accustomed to working in a fast-paced, dynamic environment.
  • Willing to take on department tasks as needed.
  • Basic knowledge of INCO terms 2010 / 2020, Customs regulations, and other government agency requirements.
  • Solid knowledge of domestic and international geography including countries, major cities, and ocean ports along with basic knowledge of U.S. Regulatory Laws (country of Origin, HTS Codes).
  • PC Proficient: Microsoft Word, Excel, and Outlook.
  • Demonstrated ability to prioritize, multitask, organize, and manage time effectively.
  • Effective communication skills with vendors, and co-workers through a high volume of e-mails, phone calls, and verbal contact.
  • Bilingual (Spanish/English) proficiency is a plus.
