Events Manager

Job Description:

Our client, the Greater Raleigh Chamber of Commerce, is looking for a new events manager! This position is responsible for managing logistics for meetings and events to produce positive, memorable experiences for organization members and event guests, resulting in growing non-dues revenue for the organization and a fan base of repeat event participants. The person will work in cooperation with content providers, communications, sales and marketing, IT, and accounting staff members along with volunteer committees. This position reports into the VP of marketing, and is a full-time direct hire opportunity, offering hybrid flexibility and flexible schedule. Additional on-site requirements for event days.

Responsibilities:

  • Follow meeting and event production systems and processes in a collaborative team environment where multiple staff and departments participate as contributors

  • Source locations and properties for meetings and events

  • Ensure that the event calendar is balanced for audience participation and resource allocation

  • Request and negotiate property contracts and contract changes and submit contracts and accompanying purchase orders for approval

  • Request, negotiate, and review other vendor contracts and contract changes, including catering, audio/visual, security, transportation, entertainment, floral, equipment, and other vendors and submit contracts and accompanying purchase orders for approval

  • Prepare, Review and approve catering banquet event orders (BEOs) and prepare other instructional documents for vendors

  • Manage contract deadlines and obligations

  • Submit event project requests in the communications project management system and work collaboratively with this department to develop marketing event & meeting timelines

  • Coordinate delivery of sponsor benefits related to event logistics, working with registration coordinator

  • Work with content providers to ensure emcees, speakers, and facilitators are prepared for the event in a timely manner and that their A/V and other requirements are communicated to the appropriate staff or vendors

  • Confirm event vendors and oversee event set- up and break- down

  • Coordinate post-event activities including requests for payment of outstanding invoices, thank you notes to sponsors and speakers, and event and speaker evaluation procedures

  • Track meeting and event income and expenses in Excel on a weekly basis. Project anticipated income and expenses and variances against budget.

  • Meet or exceed budget goals for assigned programs and provide post-event income and expense projections information to content providers and accounting

Education Requirements:

  • Bachelors or Associates degree, preferred

Qualifications:

  • Minimum 2 years of experience in event management

  • Proven experience in contract negotiation and budgeting

  • Intermediate proficiency in Microsoft Word, Excel, Outlook, Teams, and PowerPoint

  • Excellent communication skills, verbal, written, and presentation

  • Excellent customer relationship skills

  • Previous experience working with a non-profit or member association, preferred
