Position Summary

The Sales Support Specialist plays a critical role in facilitating the seamless integration of new clients into our services. This individual will be responsible for monitoring and managing the initial stages of the client onboarding process, ensuring compliance with documentation, and assisting both the sales and implementation teams. The role requires a detail-oriented approach, excellent communication skills, and the ability to multitask efficiently in a dynamic environment.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

Sales Support:

  • Monitor email diligently for inbound New Client Profiles and requests for ancillary products.
  • Conduct thorough reviews of New Client Profiles to ensure document compliance.
  • Engage in proactive communication with sales representatives to confirm details such as single/multi entity status, product being sold, and check dates.
  • Directly communicate with clients to acquire any missing documentation and guide them through their next steps.

Implementation Support:

  • Upon receipt of all necessary documents, assign a short name to new clients and update the Client Progress Sheet.
  • Create and manage client Projects and Workdrive, ensuring all documents are accurately transferred.
  • Build client profiles in Elevated upon receiving signed Services Agreements and add sold products.
  • Dispatch Assignment Emails to relevant team members to signal that new clients are ready for implementation.
  • Coordinate with clients to schedule Welcome Calls, including setting up the necessary Teams meetings.

General Support for Both Teams:

  • Assist in the creation and management of Project and Workdrive folders for product upgrades and ancillary products.
  • Submit accounting tickets as required.
  • Perform anti-money laundering compliance checks for new clients, including Sanctions List searches, Been Verified searches, and cannabis license verification (if applicable).
  • Conduct verifications of business licenses, LLCs, and websites.
  • Ensure all supporting documents are uploaded to the client's Workdrive in an organized manner.
  • Other duties as assigned

Minimum Qualifications (Knowledge, Skills, and Abilities)

  • Associates degree in Business Administration preferred or equivalent 3 years work experience
  • Proven experience in a support role within a sales or customer service environment.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in using office software, including email, spreadsheets, and document management tools.
  • Ability to work independently and as part of a team.
  • Detail-oriented with a commitment to accuracy and thoroughness.
  • Proven experience in a support role within a sales or customer service environment.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in using office software, including email, spreadsheets, and document management tools.
  • Ability to work independently and as part of a team.
  • Detail-oriented with a commitment to accuracy and thoroughness.
