Green Hedges School is Hiring a philanthropy associate Near Vienna, VA

2024-2025

Green Hedges School, a private independent school serving ages 2 through Grade 8 with approximately
190 students, seeks a Philanthropy Associate, with a start date of July 1, 2024 or earlier. The School is
located in Vienna, VA, 14 miles west of Washington, DC. This position is 20 hours per week and is
on-site.

Reporting directly to the Director of Philanthropy, the Philanthropy Associate plays an important role by
providing support to the Office of Philanthropy and participating in all fundraising activities, including
alumni and donor relations, database management, event planning and facilitation, and volunteer
management.

Key Responsibilities

Alumni/Donor Relations and Engagement

  • Partner with the Director of Philanthropy to construct a 3-year plan to build the School’s Alumni
Program.
  • Assist with marketing the Green Hedges Fund to alumni by leveraging print and digital
channels.
  • Identify and build relationships with alumni prospects for giving and volunteering.

Database Management

  • Serve as point of contact for the management, control, integrity, and accurate maintenance of the
donor database, Raiser’s Edge and Raiser’s Edge NXT.
  • Process and track all gifts and pledges; produce timely acknowledgment letters and pledge
reminders.
  • Work with the Business Office to reconcile database records with the general ledger and create
fundraising reports.
  • Assist in the tracking of prospects in the donor pipeline.

Event Planning and Facilitation

  • Serve as the lead on planning and execution of the following annual School events: Back to
School Playdates, Parent Cocktail Parties, Speaker Series, Dragons on Ice, BINGO, and Dragon
Dash.
  • Assist the Director of Philanthropy with the School’s DragonFest and annual Gala.
  • Manage Town of Vienna event applications, vendor contracts, and payments.
  • Manages events to support the Capital Campaign, including but not limited to cultivation events,
campaign kick-off, groundbreaking, and building dedication.
  • Help ensure that all events are branded, purposeful, strategic, and high quality, and that they

successfully engage prospective and current donors, alumni, and parents. Evaluate and suggest
modifications/improvements for the future.

Volunteer Management

  • Provide administrative support, as needed, to the Parent Association.
  • Handle day-to-day requests and questions from volunteers.
  • Arrange for spaces, setups, and other logistics needed for parent events.

Skills and Qualifications

  • Three years experience in an independent school or non-profit organization.
  • Interest in the work of an independent school development office, specifically during a capital
campaign.
  • Working knowledge of Raiser’s Edge and Donor Search.
  • Event management experience.
  • Strong collaborative and interpersonal skills.
  • Ability to collaborate with other divisions in the School, including Communications and
Admissions.
  • Strong written communication and time management skills, ability to balance multiple projects
and meet deadlines.
  • Ability to work some nights and weekends.
  • Perform professional duties. These duties include but are not limited to recess duty, lunch duty,
and carpool duty.
