Greater West Town Community Development Project is Hiring an Intake Coordinator Near Chicago, IL

Position: Intake Coordinator

Position Overview: The Intake Coordinator serves as the initial point of contact for clients seeking GWTP’s Vocational Training services. The Intake Coordinator is responsible for conducting assessments, providing information, and ensuring a smooth intake process. This position is integral in connecting clients with the appropriate programs and services, aligning our mission to help those in need.

The Intake Coordinator reports to the Director of Vocational Training.

Key Responsibilities

Intake Process Management:

  • Responsively handle client outreach/inquiries through phone, email, and in-person interactions. (Minimum of 30 connections per week)
  • Expertly guide clients through the intake process, ensuring a smooth and supportive experience.
  • Administer TABE testing, including Grade Locator, Pre, and Post assessments, and generate detailed reports.
  • Facilitate applicant orientations and diligently maintain applicant records, including application and eligibility documents.
  • Track and manage referral leads given to appropriate programs and services for clients.
  • Conduct income calculations to determine participants' program qualifications.

Documentation and Reporting:

  • Prepare timely and accurate reports on intake activities, client demographics, attendance, and eligibility requirements, fulfilling contractual and grant obligations (i.e. ICCB Contract System – DAISI).

Database Management:

  • Maintain meticulously detailed and up-to-date client case notes and program-related information.
  • Ensure accurate data entry while strictly adhering to privacy and confidentiality policies.
  • Collaborate closely with the Vocational Training Leadership Team to identify and recommend programs, services, and resources that align with clients' specific needs and goals.

Supportive Services

Program Referrals:

  • Track and issue supportive resources, such as bus cards and gas cards to program participants.

Team Collaboration:

  • Work collaboratively with other team members to ensure a seamless integration of services and maximize the effectiveness of our programs.

General Administrative Duties:

  • As assigned, undertake additional administrative tasks to support the smooth functioning of the organization.

Qualifications/Requirements:

  • Bachelor's degree in social work, psychology, human services, or a related field (or equivalent work experience).
  • Proven experience in intake coordination, case management, or a similar role, preferably within a nonprofit or social services setting.
  • Must have the ability to use initiative, discretion and independent judgment in making decisions.
  • Demonstrated ability to communicate effectively, both verbally and in writing, with diverse populations.
  • Strong interpersonal skills with a focus on building rapport and maintaining professional relationships.
  • Knowledge of community resources, social services, and assistance programs.
  • Exceptional organizational skills and attention to detail for accurate record-keeping and data management.
  • Proficiency in using database systems and Microsoft Office Suite (Word, Excel, Outlook, Google).
  • Ability to work independently and as part of a team, while managing multiple tasks efficiently.

Salary and Benefits: This is a full time, career position. The salary is commensurate with experience. The agency benefit package includes health, life, and disability insurance, retirement plan, and bonus program.

Pay: $36,000.00 - $54,000.00 per year
