Greater Kansas City Community Foundation is Hiring a Portfolio Operations Specialist Near Kansas, MO

Description

As part of the Portfolio Accounting & Investment Operations team, this Specialist supports the department through various technical and accounting-related tasks. Primary responsibility will be to assist in working with financial advisors to open accounts and make sure they are set up correctly at the custodian and in the APX investment software. This role will also support monitoring the investment team inbox to route information and research questions. Must possess strong organizational skills and attention to detail. Must value communication and teamwork while possessing a high level of reliability and self-motivation. This position reports to the Senior Manager of Financial Data & Operations and is classified as hourly, nonexempt.

Essential functions

  • Work with financial advisors to open donor investment accounts. Obtain paperwork from advisor, reviewing, routing, and obtaining signatures. Follow up and ensure custodian accounts are set up accurately.
  • Help maintain up-to-date information related to accounts in a consistent manner in APX investment software.
  • Assist in monitoring the investment team email box, retrieving, and routing information to appropriate team members, logging information to appropriate tracking files, provide support with researching questions.
  • Assist with setting up new accounts in APX and getting appropriate feeds as necessary.
  • Cross-train to become proficient in tasks performed by associates in the Operations team, including new FAMA account opening review, data interface process, and daily recon of FAMA accounts through the data interface platform.
  • Interact with Foundation Services, Donor Services, Investment Accounting, and other teams in the organization, including management, on Research discrepancies and make necessary transaction adjustments in a timely manner. 

Requirements

  • A Bachelor’s degree or equivalent and at least 2 years of related experience. Equivalent combination of education and experience will be considered. 
  • Experience working with portfolio management systems or order management systems (Advent APX preferred). 
  • Comfortable with technology and aptitude to learn new databases quickly and navigate between multiple applications easily. Must be proficient in Adobe and MS Office products, advanced Knowledge of Excel (V-Lookup, Pivot Tables).
  • Ability to apply, present, and manage within relevant financial principles and data.
  • Ability to read, analyze and interpret a variety of instructions and procedures; operate within current industry best practices. 
  • Ability to build professional relationships with internal and external stakeholders and successfully communicate verbally and in writing. 
  • Ability to operate a highly collaborative environment while able to work independently and be self-motivated. Respond effectively to the most sensitive inquiries or complaints; work well under pressure, including identifying and quickly resolve problems.

  • Regularly complete tasks at a computer terminal. 
  • Work in a fast-paced environment with frequent interruptions.
  • Work within an office that has a moderate noise level.
