Operations Manager

POSITION SUMMARY
The Operations Manager assumes responsibility for directing the fulfillment team and workflow in the day to day operations of the pharmacy production area, and assists with systems, regulatory requirements, and performance improvement. Works with Senior Operations Manager to establish short- and long-range departmental goals and objectives. Assists in the development, planning, implementation, and operation of departmental projects and services. Assists with automation, systems, regulatory requirements and performance improvement. This position is in Pittsburgh, Pennsylvania.
KEY RELATIONSHIPS
The Operations Manager reports directly to the Senior Operations Manager. This position works directly with Production Supervisors, and Fulfillment Technician I and II. Works in a shared services environment, which includes customer service, order entry, and pharmacists. Works with team members and management in Pharmacy Operations, Consultant Pharmacists, Consultant Nurses, Billing, logistics, and Inventory. Works with customers, such as, nurses, physicians, clinical providers, care providers, and patients.
ESSENTIAL DUTIES AND RESPONSIBILITIES
· Provide leadership and direction to build effective teams.
· Implements, maintains and reports on core pharmacy processes.
· Reviews KPIs based on pharmacy production and quality metrics for continuous improvement.
· Leads Lean initiatives and projects.
· Plans, organizes, implements, and controls the preparation, distribution, and data processing activities and operations in pharmacy.
· Responsible to ensure that operational processes, standards and objectives are being met.
· Recommends, develops, and implements short and long-range plans to streamline and maintain operations.
· Develops operational guidelines and introduction and education of new products and procedures to the staff.
· Engaged with Production Supervisors during personnel activities including interviewing, staffing, corrective action, and performance appraisals.
· Participates in performance improvement and regulatory compliance efforts and maintains an attitude that promotes and fosters an environment of safety.
· Assists the Senior Operations Manager with the preparation and monitoring of the annual labor and non-labor budgets for the respective pharmacy production area. Assists in the development and implementation of plans to control costs. Assists in the development and implementation of performance improvement initiatives.
· Participates in the Process Improvement and Quality Management programs and assures compliance of assigned areas of responsibility.
· Meets regularly with the management team to plan, revise or implement new services, and/or policies and procedures.
· Assists with interviews of prospective team members and approves their selection by production supervisors.
· Participates in all personnel management issues involving team members.
· Coordinates written performance evaluations and leadership development plans for the production supervisors.
· Works with Senior Operations Manager on workstreams, team structure, and routing relevant pharmacy tasks.
· Involved in the investigation of Fulfillment errors and facilitate proper resolution, reporting, and resolution.
· Facilitate control substance inventories.
· Work closely with compliance team on all compliance topics in production area.
· Emphasizes dispensing efficiency, safety and accuracy with team members, and manages the dispensing processes.
· Works with Production Supervisor on staffing and scheduling process to optimize production and contain labor costs.
· Works directly with Courier Service to meet logistic needs.
· Drive excellence in pharmacy operations and implement new technology/process rollouts.
· Safeguard production functional area and contents by establishing and monitoring security protocols.
· Motivate, organize and encourage teamwork within pharmacy operations to ensure set productivity targets are met.
· Conducts Gemba and MBWA (Management by Walking Around) to ensure team member safety, address concerns, communicate essential information, and to enforce policy guidelines.
· Builds and cultivates team member morale, motivation, and loyalty by encouraging participation in pharmacy activities and special events.
· Performs other duties as assigned or required.
EXPERIENCE, SKILLS AND EDUCATIONAL REQUIREMENTS
· Bachelor’s degree or minimum 5 years’ work related experience.
· Minimum 2 years of employee supervision and performance management experience.
· High school diploma or equivalent is required.
· Prior experience preferred in long term care and pharmacy.
· Demonstrated success in developing and advancing pharmacy practice including project management, performance improvement and planning.
· Ability to obtain pharmacy technician licensure, certification, or state equivalent in the pharmacy's domicile state, if required by the local Board of Pharmacy.
· Candidates must be flexible to work a variety of hours as business demands, including overnight, weekends and holidays
· Ability to coordinate larger scale operations process improvements in an efficient manner.
· Organized and able to prioritize and discern priorities of competing tasks.
· Ability to blend operations and quality improvement to articulate risks and drive decision making.
· Collaborate and communicate with stakeholders at various levels within the organization.
· Understanding of Lean Six Sigma processes.
· Knowledge of pharmacy automation and computers required.
· Proficiency in desktop productivity tools, emphasis on Microsoft Office.
· Exhibits professional demeanor and ability to guide production team.
· Exhibits strong analytical and troubleshooting skills.
· Exhibits excellent communication and teamwork skills, with a strong user support orientation.
· Exhibits strong organizational skills and ability to work independently with minimal supervision.
· Knowledge of pharmaceutical medication and supplies.
· Knowledge of general carriers, such as UPS and FedEx, systems.
· Knowledge of storage skills, such as, refrigerated items, outdates, and hazardous materials.
· Ability to travel to other sites to provide support, as needed.
