JOB SPECIFICATIONS

Education: High School plus 2 years
Related Experience: 4 years
Supervision Given: 2 F.T.E.(s)
Supervision Received: Resort Manager
Job Summary:
The Director of Events Planning is responsible for planning all sales & event efforts, for attaining sales and event goals, for managing and marketing the sales and event efforts to maximize profitability for rooms, food, & beverage and service for the overall resort.
Essential Managerial Job Duties:
1. Understands, endorses and supports the Mission, Vision Statement and Values of the Company.
2. Understands, endorses, supports and teaches the policies and procedures of the organization.
3. Provides meaningful input in regards to the policies, operations and direction of the organization.
4. Demonstrates leadership by presenting a positive example, establishing high standards, holding people accountable, and maintaining the highest standards of honesty and integrity.
5. Attains agreed upon sales and profitability levels.
6. Monitors sales and profit trends and makes adjustments to take advantage of trends.
7. Assures the safety and security of guests and associates and the optimal condition of facilities.
8. Guarantees guest satisfaction and responds to trends in guest satisfaction.
Essential Supervisory Job Duties:
9. Hires, orients, trains, and develops employees in his/her area of responsibility.
10. Supervises and directs the efforts of employees in his/her area of responsibility.
11. Evaluates employees in his/her area of responsibility in an objective and timely manner.
12. Identifies the need for disciplinary action, consults with management and initiates
appropriate discipline and follows through accordingly.
Essential Job Specific Duties:
13. Develops, gains approval of and implements objectives for his/her area of responsibility.
14. Plans, organizes, directs and controls the administration of the room sales, event and banquet departments.
15. Maintains a working knowledge of Microsoft word , email, excel, hotel software etc.
16. Directs and coordinates all activities of the operation in accomplishing defined sales goals.
17. Develops a company sales plan, establishes sales forecasts and develops sales objectives.
18. Monitors sales results and projections, identifies variances and recommends remedial action.
19. Directs the administration of all sales activities to maintain and attract targeted customers consistent with the sales plans.
20. Makes off-property sales calls on a regular basis.
21. Makes a minimum of sales calls each week per plan.
22. Responds to phone inquiries.
23. Sends out emails and mailings to potential guests.
24. Collects information and prepares bids for meeting, events and group rooms.
25. Presents bids to customers and adjusts bids as needed.
26. Prepares contracts for events, meetings and group rooms.
27. Assures that all details are accurate and thoroughly communicated to other need to know
departments.
28. Monitors all banquets, functions, events & activities and assures they are executed as planned.

Essential Job Specific Duties --continuted:
29. Prepares daily details and billings accurately, and ensures payment is received.
30. Follows up with guests to assure they are satisfied with their event.

31. Participates in website updates, social networking and utilizes third party websites (i.e., Explore MN, Facebook, Twitter etc. )
32. Coordinates promotions, parades, tradeshows and resort special events etc.
33. Reviews guest room and banquet room occupancy and prepares monthly forecast.
34. Monitors use of preferred accounts and rates.
35. Assists in front desk with phones, reservations, check-ins, service & etc.
36. Functions as Manager on Duty as needed.

38. Identifies organizational problems and opportunities for improvement and brings
solutions and suggestions to management’s attention.
39. Functions as a team member by assisting, supporting, and encouraging other
employees in any way possible.
40. Understands and complies with all laws, rules, regulations, policies and procedures
applicable to his/her position.

41. Performs related work as required, willingly and eagerly.
