Overview:

Gordon-Conwell is a multidenominational, protestant graduate school with over 1,300 students and 25 faculty and staff members, hailing from 78 denominations and over 50 countries. We offer a residential model of education at South Hamilton, MA (our main campus); an urban context in Boston, MA; adult educational models at our Charlotte, NC and Jacksonville, FL campuses; in addition to online and cohort models involving students from around the world.

Rooted in the gospel and God’s Word, the seminary seeks to develop Christian leaders who are thoughtful, globally aware, spiritually mature, and ready for a broad array of ministries. Position Summary:

The Admissions Processing Specialist in Charlotte joins an Admissions Team across all four GCTS locations. The Admissions Processing Specialist is efficient, and detail oriented in the processing of applications. Under the supervision of the Charlotte Admissions Processing Manager and guidance from the Director of Admissions, the Admissions Processing Specialist supports students through their application process and into matriculation at GCTS. The position entails occasional support at Charlotte-specific recruiting events and other duties as necessary.
Key Responsibilities
  • Importing Applications (45%) – Move applicant from the “app opened” to “app import” stage in the seminary’s student information system . This includes the following steps:
    • Import new application forms into the seminary’s student information system.
    • Record new application forms in a master list as they are imported.
    • Email applicants once their application form has been processed into the student portal.
    • Give applicants access to the applicant portal.
    • Process references and transcripts and upload them to the applicant’s portal.
    • Send welcome emails to applicants, copying their Admissions recruiter.
  • Processing Applications (45%) – Move applicant from “app import” to “registered,” ensuring students matriculate at Gordon-Conwell.
    • Engage with applicants by email and phone as they fulfill their application requirements.
    • Process student applications by assisting applicants with document processing, database management/input, and updating students regarding their application status.
    • Improve and maintain technical efficiency and customer best practices throughout the processing pipeline.
    • Work with Admissions colleagues coordinating recruitment efforts with special concern for the efficient use of technical tools needed to accomplish that task (including the admissions modules of the SONIS (SIS), HubSpot CRM, web, email, etc.).
    • Assist in collecting data to ensure high quality of prospective students’ services.
  • Recruiting Students (10%)
    • Assist Admissions recruiters during visits to campus, churches, and other events in accordance with the overall recruitment strategy.
    Assist with special events (i.e. graduation) on and off-campus, including virtual events.

  • Process and detail-oriented: Able to develop and execute processes and procedures and perform routine administrative tasks with minimal supervision.
  • Communication: Must have strong written and verbal communication skills and be able to communicate in a manner that allows information to flow smoothly to perform job responsibilities in a timely fashion.
  • Relationship building: Proven track record of building relationships across departments and outside the organization to ensure positive outcomes. A warm, welcoming, hospitable spirit that puts guests at ease and sets an example for the team. Proven ability to collaborate and foster a team environment.
  • Sales or customer service experience; must appreciate and look forward to interacting with people.
  • Strong interpersonal skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Analytical skills: Ability to analyze, interpret and evaluate data to make data-driven decisions and report to leadership.
  • Knowledge and discernment: Understanding of the academic, personal, and spiritual capabilities required for theological training. Ability to discern an applicant’s readiness for and fit within the seminary.

    Education and Experience

    • Bachelor’s degree in a relevant field, graduate theological degree preferred.
    • Preferred previous experience in sales or admissions, or relevant experience in another field.
    • Ministry or pastoral experience is a plus, given that the Admissions team interacts with potential students as well as pastors and denominational leaders.
    • Experience in multi-ethnic/cultural/lingual contexts.
