Summary of Position:

Operates telephone and paging system. Answers inquiries according to established code approved for release of information. Give directions to residents, visitors, guests, sales representatives, etc. Assists with business office duties such as miscellaneous typing, stuffing envelopes, preparing lists, etc.

Key Responsibilities:

Operates telephone and paging system. Receives incoming calls. Ascertains nature of call and relays to proper location within the institution. Transmits information to callers to proper location within the institution. Transmits information to callers, abiding by established release of information code. Receives inquiries from within institution and locates personnel through paging system. Places long distance calls for personnel and residents when requested. Records such calls according to required detail and submits them to the business office accounting department. Maintains current list of residents by name and room numbers, clergy list, list of emergency telephone numbers and on-call personnel, list of department extensions and names of key personnel and their extension numbers.

Receives, screens and gives directions to residents, visitors, guests, sales representatives, etc. Reports suspicious persons to administration or supervisor in charge of institution during night shifts. Sees that people coming into the institution abide by visiting rules and regulations and may refuse admission to persons due to their age, condition or other factors involved. Assists with business office duties such as miscellaneous typing, bookkeeping, stuffing envelopes, preparing lists, etc., as directed by office supervisor.

Efficient operation of institution's telephone and paging system, prompt, and accurate transmission of calls and messages. Abiding by institution's policy in transmitting information. Handling emergencies in accordance with institution's policy. Courtesy, patience, tact when dealing with the public and residents. Treating resident information as confidential material. Care and use of supplies and equipment, and appearance of work area. Cooperation with other personnel.
