JOB DESCRIPTION FOR: Parts and Accessory Manager
REPORTS TO: General Manager
POSITION INFORMATION: The Parts and Accessory Manager is responsible for all aspects of running a profitable and well organized department. This includes but is not limited to inventory control, staff scheduling, and promotion development.
KEY RESULT AREAS:
1) Parts and Accessory Department Operations
2) Management of inventory dollars and turning inventory 4 times a year.
3) Obsolete inventory is kept to a minimum.

DUTIES AND RESPONSIBILITIES:
1) Provide excellent customer service to all of the dealership’s customers.
2) Set-up and maintain a smooth running, efficient P&A department.
3) Insure P&A personnel are well trained and available when needed.
4) Ensure the needs of the service department are being met.
5) Review all stock orders to ensure a fast moving balanced inventory of Parts & Accessories.
6) Maintain sufficient quantities of stock to support demand and acceptable inventory turn ratio.
7) Assist staff when needed.
8) Regulate seasonal promotions (i.e. holiday display themes, special events, etc.) and coordinate them with other departments.
9) Design displays for merchandise, which are appealing to customers. Make effective use of: a. Fixtures b. Wall Displays c. Show Cases d. Glass Cubes & Towers e. Mannequins f. Window Displays 10) Review all stock orders to ensure a fast moving balanced inventory of P&A. Coordinate orders with General Merchandise manager, as required. 11) Maintain sufficient quantities of stock to support demand and acceptable inventory turn ratio.
12) Supervise and maintain an accurate up-to-date inventory management & control system.
13) Follow establish procedures for ordering, receiving, logging into inventory, displaying, selling and restocking all merchandise.
14) Purchase product assortments, gauge stock movement, and devise promotions, when necessary.
15) Become familiar and efficient with all phases of the computer system required for P&A Merchandise management, including generating and reviewing Inventory reports.
16) Insure employees keep all merchandise and displays clean, well dusted, and appealing to customers.
17) Set-up and maintain a smooth running, efficient, appealing retail environment for the P&A Merchandise department.18) Insure all inventory control measures (including annual physical and cycle counting) are being performed. Report results to General Manager on monthly basis.
19) Assist customers with their selection of merchandise and offer additional product that compliments the purchase when required.
20) Insure that all customers are notified when special orders or back-ordered items are received.
21) Establish a process for receive and processing merchandise from distributors, checking merchandise received against purchase invoice, logging merchandise into inventory, and preparing product for showroom floor.22) Conduct or participate in periodic physical inventory of all merchandise (counts, reports etc.)
23) Assist with set-up, organization, and staging of special events such as Open Houses, of HOG activities, owner’s clinics, etc.
24) Insure merchandise displays are stocked, clean, dust free, and appealing to customers.
25) Continuously maintain showroom product availability by insuring shelves and displays are stocked. 26) Insure that each customer is greeted promptly, enthusiastically and with a smile and that each customer is acknowledged with a nod or a wave regardless of how busy your staff is.
27) Insure that prompt and accurate service on the cash register is provided if applicable.
28) Oversee that all charges are being checked for accuracy on service repair orders.
29) Process all paperwork and maintain organization of all logs and files as required.
30) Insure that payments for products and services rendered have proper authorization for all credit cards, gift cards and check payments as outlined on the cashiering policy and procedure if applicable. 31) Maintain customer logs and inventory logs as required.
32) Assist accounting or other administrative assistants and required.
33) Insure that all phone calls promptly, enthusiastically and with a smile as required.
34) Strive for team work and harmony with all departments and employees.
35) Establish and maintain a good working relationship with our customers to insure the highest level of customer satisfaction. We strive to build relationships and friendships with our customers and your position is a key to that relationship. 36) Handle any customer complaint promptly and fairly. Get the Manager involved with any complaint you cannot resolve. 37) Insure that all customer greeting, and cashiering areas are kept clean and well organized. 38) Observe all dealership rules and regulations.
39) Personal appearance and hygiene are imperative to personal success and customer satisfaction and a strict dress code will be observed.
MANAGEMENT:
1) Employ sound management practices to ensure P&A Department contributes acceptable levels of gross & net profit. 2) Maximize return on investment of P&A inventory.
3) Grow the volume of P&A sales.
4) Maintain budgeted revenue and expense objectives.
5) Develop advertising sales, and promotional campaigns for merchandise. Take care of all Business Promo’s.
6) Communicate regularly with the Harley-Davidson Motor Company regarding: a. Policies b. Product Availability c. Product Style Options d. New/Future Product line Studies 7) Benchmark other retailers to determine “best practice” standards.
8) Organize and stage owner’s clinics and other events to sell merchandise. 9) Provide DOC reports to Dealer Principal or General Manager, as requested.
10) Develop monthly and annual objectives for the department in collaboration with Dealer Principal or General Manager.
11) Attend training sessions (Harley-Davidson University, etc.) to keep current with merchandising trends & inventory control issues.
SUPERVISORY RESPONSIBILITIES:
1) Establish departmental work schedule, balancing the workloads of all employees.
2) Establish job assignments and sales quota’s for all P&A personnel within their skill level.
3) Enforce policies and procedures for P&A department.
4) Manage employee performance (evaluate and council).
5) Assist Dealer Principal or General Manager with recruiting, interviewing, hiring, and terminating employees.
6) Maintain records of all employee performance reviews.
7) Provide training for all P&A employees:
Harley-Davidson University Programs
Dealer Shows & Expo’s
8) Oversee Parts to Service Liaison Position and Chrome Consultant.
PROMOTIONS:
1) Plan and execute “exceptional” promotions to bring both “new and existing” customers into the dealership on a regular basis. 2) Coordinate promotions with other departments to maximize return on promotions spending.
