GMJ Air Shuttle is Hiring a Remote Operations & Safety Coordinator

Job Profile

The Operations and Safety Coordinator is a part-time role that supports Flight Operations Leadership with all administrative functions and performs a variety of clerical duties related to the Company's safey programs. 

Your Responsibilities

Flight Operations Coordination

  • Supports Flight Operations Management
    • Managing schedules and calendars, including meetings, appointments, and events coordinate and communicate changes of times and/or venues as necessary.
    • Supports and monitors strategic initiatives/proposals involving flight operations and key departments.
    • Prepares and edits correspondence, communications, presentations and other documents
    • Coordinates travel arrangements as needed
    • Assists with managing and archiving of Flight Operations email inbox
    • Coordinates and schedules department and team meetings including preparation of documents and agenda.
  • Manages Flight Crew Expense Reports
    • Audits, analyzes and categorizes flight crew expense reports and ensures compliance with expense policies
    • Monitors expenses for duplicates, changes in trends or expense norms
    • Notifies department manager of any issues and corrective actions taken with expense reports
    • Creates, maintains and execute expense policy training for new hires.
  • Supports bi-weekly payroll process:
    • Ensures correct payment for TDY, Per Diem or other supplemental payment for Company Business, & Training
    • Reconcile vacation and sick time taken and ensure proper reporting through ADP.
    • Add any additional pay activities per DO and ADO.
  • Revises and assists with creation of Company manuals, forms, charts and policies
  • Conducts research, assemble and analyze data to prepare reports and documents
  • Assists with onboarding and offboarding of Flight Operations personnel
  • Manages Known Crewmember Program
    • Reviews NATA reports and maintains compliance with each phase of KCM badge program for qualified crewmembers
    • Performs yearly audit of KCM program per TSA requirements
    • Creates, maintains and conducts KCM program training for new hire pilots
  • Participates in Flight Crew recruiting activities
  • Assists with planning and organizing company events
  • At all times exhibit a high level of integrity.
  • Embody the values of the Air Shuttle culture and standard of service to help create and maintain a positive work environment & successful operation

Supports maintenance, development, planning and continuous improvement of GMJ Air Shuttle's safety program.

  • Collects, prepares, and processes submitted safety reports and data for Flight Operations
  • Conduct employee outreach and drive safety promotion initiatives.
  • Compiles and analyzes statistical data and identifying adverse trends.
  • Support the Safety Manager in processing incoming reports

Performs other duties as needed

Required Skills, Qualifications, and Experience

Required education and experience

  • Education requirements:
      • High school diploma or equivalent required.
      • Preferred further education in safety, aviation, quality assurance, data analysis, and/or management fields.
  • Work Experience Preferred:
    • 2 years working in safety or administration
  • Technical and Soft Skills:
  • Capable of working accurately and independently with minimal supervision.
  • High degree of integrity and fairness
  • Ability to maintain a high-level of confidentiality
  • High customer service orientation with cross cultural and cross functional understanding.
  • Demonstrated skills in professionalism, diplomacy, and tact
  • Strong analytical skills with the ability to identify trends.
  • Ability to analyze complex situations, problem solve and successfully time management.
  • Excellent written and verbal communication skills
  • Proficient with PC and Microsoft Office and ability to learn new programs quickly.
  • Experience with WebManuals is beneficial but not required.

The salary range for this position is $20.00-$28.00per hour DOE.
