Responsibilities:
  • Works closely and effectively with the executive to keep him/her well informed of upcoming commitments and responsibilities and following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the executive updated.
  • Conserves executives time by reading, researching, and routing correspondence/emails; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the executives ability to effectively lead the business unit.
  • Maintains executives appointment schedule by planning and scheduling meetings, conferences, and travel and reviews calendar on a weekly basis for planning time accordingly. Assists executive in arriving and ending appointments in a timely manner to best utilize his time.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to executive, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response and ensures completion of those actions.
  • Maintains and submits the executives expense report ensuring timely and accurate submittal of expenses.
  • Maintains company and customer confidence and protects operations by keeping information confidential.
  • Prepares reports by collecting and analyzing information.
  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
  • Managing the day-to-day office operations, including supervising clerical staff that responsible for office and kitchen supplies inventory and organizing various employee functions.
  • Contributes to management team effort by coordinating and facilitating various management meetings and recording minutes as needed.
  • Excellent interpersonal skills and the ability to work well with all levels of internal management and staff, such as the firms CEO and executives direct reports, as well as outside clients and vendors.
  • Represents the executive and company in the utmost professional manner.
  • Exceptional organizational skills to ensure regular deadlines are met and content is accurate.
  • May serve as Learning Coordinator responsible for working with BUL/Department Heads and HR to determine annual training needs.
    • Create training schedules for BU/departments and communicate scheduled company training opportunities to employees to encourage participation.
    • Organize and execute training, including scheduling, sending reminders, providing facilitator with necessary training materials, and ordering/organizing catering.
Qualifications:

EXPERIENCE/EDUCATION

  • Associates or Bachelors degree in business or related field
  • 5 or more years experience in an Executive Assistant role
  • Experience in the Architecture, Engineering, or Construction industries preferred
  • Or equivalent combination of education and experience

KNOWLEDGE, SKILLS & ABILITIES

  • Excellent writing and communication skills
  • Scheduling, time management and travel logistics
  • Must be Proficient Microsoft Office (Excel, Word, Power point, Outlook)
  • Exceptional organization skills

Salary to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data.
For California this ranges from $81,500.00-$112,100.00 plus benefits and retirement program.
