Our well-established, family-owned, construction company has identified the need for a new full-time role as a Compliance Coordinator. The Compliance Coordinator will mainly complete the certified payroll processing and contract compliance tracking and project-related processes. If you have payroll experience and compliance tracking and coordination, then you will want to hear more about this opportunity. The ideal candidate will have knowledge of general accepted accounting principles, union payroll processing, are extremely detail oriented, organized, consistent, accountable, able to prioritize and meet crucial deadlines, dependable, strong communication skills, and be comfortable processing and juggling multiple tasks. This position reports to the Contracts Manager in our Estimating department and works closely with our Assistant Controller.

This Estimating team orchestrates all the project start-up functions of our general engineering heavy civil construction company, and this role has growth potential. The Compliance Coordinator will be the central hub for all compliance related questions as their focus will be on maintaining and disseminating said requirements to the broader team, while ensuring compliance with contract requirements. We will be able to better track documentation, receipt, submission, etc. in a streamlined, simplified way under the heading of this new position, and ensure payments are processed timely to meet contract requirements.

What a Compliance Coordinator’s day may look like:

· Prepare labor compliance documents and work with subcontractors to submit their required documents.

· Processing certified payroll (CPR) submissions and Sub CPR submissions;

o LCP Tracker, Elations, DIR mailings

o Management of upcoming jobs, and final submissions

o LCP Tracker maintenance

o DPI model troubleshooting and communication per job.

o Request and Index in Paperless

o Management of Subcontractors submissions

o Follow up with all compliance communications with LCP Tracker and DIR.

o Review multiple platforms, requesting documents, finalizing paperwork, submissions for conditional and unconditional waiver and release, progress pay and final pay.

· OCIP/CCIP/UCIP: Payrolls monthly worker's compensation exempt project reporting; as well as quarterly and biannual audits.

· Review all certificates received for compliance with GBI's requirements.

o Request missing endorsements/language/limit increases.

o Ensure appropriate type(s) of COIs are received.

· Maintain and update the job sheet with insurance maintenance expirations dates.

o Update Job COI column on COI Tracking sheet and notify subs/providers of COIs that no longer require renewals.

· Caltrans - DBE/SBE/DBVD monthly reporting.

· Caltrans prompt pay set up and reporting monthly.

· Send preliminary notices to owners/GCs/Lenders within 20 days of start. Track compliance and send updated preliens as needed (CCOs).

· Review contract for compliance requirements.

· Track local hiring contract requirements and send applicable letters requesting union hiring support to meet requirements, while coordinating with internal resources.

· Assist Payroll Manager with annual EEO reporting requirements for company and project specific.

· Coordinate with Payroll Manager for special projects.

Must have strong communication and computer skills (Excel: Pivot Tables and Charts/ Advanced Formulas, MSWord: Professional Documentation / Proficient Writing Skills, Outlook: Professional Writing Skills/ Calendar Management, etc.) Adobe Acrobat and Snipping Tool.

The ideal candidate for this role has 2-4 years of experience in this payroll and/or compliance field.

Construction industry knowledge, and finance related experience preferred. Familiarity with Sage 300 CRE, Sage Paperless, HCSS, Smartsheet, LCP Tracker, and/or DIR software/platforms is a major plus.

We offer competitive pay along with an extensive benefits package. Salary is DOE, and experience in construction accounting. This position is an exempt/salary role.
