We are seeking a Payroll Specialist to be responsible for the administration of payroll in accordance with all state and federal laws and regulations. The ideal candidate will possess knowledge and experience of US and Canadian payroll and benefits administration.

  • Prepare regular and off-cycle payroll for US and Canadian sites with timeliness and precision using Paylocity and ADP WFN.
  • Manage time-keeping systems and review timecards biweekly for payroll processing in ADP WFN and Paylocity.
  • Manage pay adjustments, exceptions, incentive payments, commissions, retroactive payments, error resolution and complex problem solving for time management, payroll, and financial reporting.
  • Run bi-weekly reports on payroll deductions changes and PTO eligibility and update payroll systems accordingly. 
  • Promptly address internal and external inquiries regarding payroll.
  • Ensure the correct payroll and tax setup of employees related to hire, status change, location change, termination, etc. 
  • Conduct reports on metrics such as wage and salary history, turnover rates, benefits enrollments, and other employee data as requested. 
  • Administer payroll processes related to FMLA, disability, and other leaves of absence.
  • Assist with year-end balancing, reporting, and audits.
  • Compile the required information for EEOC and ACA reporting, annual Form 5500 filing and EHT Filing. 
  • Verify and reconcile various remittances: garnishments, RRSP/401k, group insurance and benefit carrier invoices, WCB, EHT, etc.
  • Support annual open enrollment, including system maintenance and post-data processing. Ensure benefits changes are processed appropriately in the payroll system for payroll deduction.
  • Advises on the research and development of policies related to payroll, such as direct deposit, bonus payments, auto allowance, fringe benefit taxation, etc.
  • Other duties as needed.

Requirements

  • Bachelor’s degree in finance, business administration, or accounting.
  • 5 years experience with full cycle payroll in US and Canada; additional experience in European and South American countries a plus
  • Proficient with Microsoft Office Suite: Outlook, Calendar, OneDrive, SharePoint, Teams, Excel
  • Familiar with Adobe Acrobat
  • Knowledge of ADP Workforce Now and Paylocity HRIS systems. 
  • Strong understanding of payroll processes and best practices
  • Time management skills and ability to meet strict deadlines
  • Outstanding attention to detail and accuracy
  • Organized, efficient and a self-starter who can learn quickly
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
  • Excellent verbal and written communication skills
  • Adaptable to change and shifting priorities in a fast-paced environment
  • Ability to work well bothindependently and as a team member
  • Proven ability to maintain a high degree of confidentiality relative to personal data, compensation data and employee benefits information
