GENERAL FUNCTIONS:

Assists the Deans in class schedule development, Perkins grant administration, Prison Education Program administration, processing purchase orders, preparing documents such as faculty evaluations, and in establishing and carrying out the various other functions or procedures connected with the area's courses and programs. Assists with preparation of curriculum proposals.

SPECIFIC RESPONSIBILITIES:

Assist Deans and faculty with master schedule development and maintenance for ALL enrollment terms. This includes making changes/additions (times, dates, classrooms, faculty assignments), as well as, submitting support tickets to the Records office for other changes in course structures as needed. In addition, the individual needs to check for room/time conflicts, enrollment caps, course modalities.

Assist the Deans and funded Perkins programs with all Perkins grant purchases. This includes keeping track of the budget/expenditures, calling vendors, and working with faculty/staff to purchase, receive, and pay for the items.

Assist Academic Directors and the Deans in preparing faculty evaluation forms including input of student surveys results, preparing the evaluation document, and coordinating the efforts with faculty and Directors in order to meet the deadlines.

Assist faculty and Academic Directors with the preparation of curriculum proposals including the submission and follow-up through the approval process.

Serve as liaison to contact faculty for the submission of No-show attendance report and final grades.

Assist with faculty and staff onboarding process.

Assist faculty and Academic Directors with program related events and activities as needed (e.g. Pitch competition).

Assist Deans with tasks necessary for the operation of the College's Prison Education Programs (e.g. onboarding instructors, scheduling classes, registering students)

Assist in grant development (e.g. Perkins), grant reporting, and project management activities as needed by the Deans.

Other duties as assigned.


Job Requirements:


EDUCATION:

Associates degree is required. Bachelors degree preferred.

EXPERIENCE:

One (1) year of customer service experience required. Knowledge of, or experience in, post-secondary educational institutions or programs preferred.

KNOWLEDGE, SKILLS & ABILITIES:

Must be versatile, creative, and capable of carrying out a variety of tasks with a minimum amount of supervision. Should possess strong organizational skills and written and verbal communications skills. Should be capable of handling a high degree of administrative responsibility. Must demonstrate an ability to work effectively with the staff, faculty, students, and other members of the College community and the public at large. Excellent telephone and customer service skills are essential. Microsoft Office computer application skills are critical. Must exhibit a commitment to an inclusive, equitable, safe and welcoming learning, living and working environment for a diverse group of students, staff and faculty. Incumbent must be mindful of and develop solutions that can accommodate all individuals to use GCC facilities without barriers, both digitally and physically.

Other Qualities, Skills, and Attitudes - Must be cooperative, helpful and approachable. Able to handle multiple tasks at once; is comfortable with change and adaptability.

RELATIONSHIPS:

This position reports to the Dean of Math, Science, and Career Education.

SALARY AND CONDITIONS OF EMPLOYMENT:

This is a full-time year-round position (including summers) at 35 hrs./week. Salary, benefits, and conditions of employment are as set by the GEA contract.
