Gen 5 Fertility Center is Hiring a Patient Relations Specialist/Scheduler Near San Diego, CA

Gen 5 Fertility is a world-class fertility center located in beautiful San Diego. It is directed by a world-renowned fertility specialist and is the place where an amazing staff, state-of-the-art equipment and the individualized treatment protocols come together to deliver a level of care and a patient experience unlike any other fertility center.

We are seeking a highly skilled and compassionate Patient Relations Specialist with expertise in reproductive care to join our dedicated team. The Patient Relations Specialist is responsible for interacting with and providing great service to patients and their families, including responding to questions, scheduling, filling out paperwork, providing information, and serving as liaisons for their institutions.

IVF, Fertility, or Women’s Health experience is desired. We are looking for candidates who possess valued experience, are eager to learn new protocols and procedures, and can learn fast. We utilize MacBooks and iOS systems, and we stress on all electronic charting (paperless). Ideal candidates also possess outstanding levels of detail orientation and organizational skills, can multitask, want to work in a close-knit team environment, and most important of all, be passionate about providing each patient with the best possible experience.

Responsibilities:

  • Warmly and respectfully greeting and welcoming all patients and guests to the practice.
  • Answers, screens, and directs calls on multi-line phone system; takes detailed messages and/or forwards telephone calls to appropriate practitioner, voice mails. Clears messages each morning and delivers to appropriate practitioner.
  • Addressing patient inquiries regarding treatment processes and costs, and appropriately redirecting calls to respective departments when necessary. Call and answer on-line inquiries, update timely in PatientPop, Zoho and Artisan for all the leads
  • Efficiently scheduling appointments and ensuring a well-maintained appointment schedule.
  • Utilizing phone calls, text messages, and mailed recall reminders to confirm upcoming appointments.
  • Providing guidance to patients on necessary forms and signatures, verifying insurance information, and updating patient demographics in electronic health records while creating new patient charts.
  • Demonstrating a high level of professionalism in dealing with confidential and sensitive issues. Assisting patients with questions and concerns, demonstrating patience, and understanding, especially when dealing with distressed individuals. Promptly reporting any patient challenges or complaints to leadership.
  • Adhering strictly to all patient confidentiality laws and policies.
  • Facilitating smooth patient flow and helping our providers stay on schedule through effective communication with other receptionists and technicians.
  • Processing cash and credit card transactions, send invoices. Handling daily deposits and preparing end-of-day reports accurately.
  • Performing clerical tasks, including but not limited to handling incoming mail, phone messages, emails, medical record transfers or requests, and maintaining inventory of office supplies in the designated work area.
  • Keeps reception area organized and neat and stocks coffee bar.

QUALIFICATIONS:

  • Associate degree (A.A.) in health care administration or a related field, or equivalent combination of education and experience.
  • 2 year related experience
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills.
  • Ability to understand and follow written and verbal instructions.
  • Proactive, commitment to excellence and high standards.
  • Strong organizational skills; able to manage priorities and workflow.
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
  • Ability to effectively communicate with people at all levels and from various backgrounds.
  • Knowledge of medical terminology helpful, especially in fertility and women health experience.
  • Professional appearance and demeanor
  • Bilingual skills a plus.
