POSITION SUMMARY:

We are seeking a dedicated Intake Specialist to join our personal injury law firm. As the first point of contact for potential new clients (PNC), you will play a crucial role in providing compassionate support and gathering essential information to assess cases. The ideal candidate will possess a great phone presence, positive attitude, excellent communication skills, empathy, highest quality customer service, and strong attention to detail to ensure the intake process is seamless. We are looking for individuals who are professional, respectful, and empathetic to client needs. This role involves handling high-volume intake calls and completing general intake documentation. This position requires availability for on-call duty, including evenings and weekends, to promptly respond to client inquiries and provide assistance. Must be bilingual (English/Spanish).

PRIMARY DUTIES & RESPONSIBILITIES:

• Serve as the first point of contact for potential new clients via phone, email, or in person meetings.
• Responsible for interaction with PNC’s to schedule appointments, accumulate intake data, and process intake information into Client Profiles.
• Conduct thorough interviews and demonstrate empathy and professionalism while gathering details about their case.
• Strong written and oral communication skills to explain next steps and compose client profiles for attorneys to facilitate smooth transitions between intake and legal representation stages.
• Efficiently manage a high volume of incoming calls and inquiries.
• Demonstrate excellent communication skills and customer service during interactions with potential clients.
• Maintain organized records of all intake inquiries and client information using the firm’s case management software.
• Ensure data accuracy and detailed completion of intake documentation and always maintain confidentiality of client data.
• Provide effective follow-up and case management.
• Perform additional duties as assigned.

QUALIFICATIONS:

• Bachelor’s degree in a related field, preferred or equivalent work experience.
• Minimum of 2-3 years of previous experience in intake coordination, preferably at a personal injury law firm.
• Bilingual (English/Spanish), required.
• High-level listening skills to gain a thorough understanding of claims.
• Multi-tasking ability to move quickly from one inquiry to another.
• Knowledge of personal injury law and legal terminology is a plus.
• Demonstrated interviewing skills to know which questions to ask to gather more information.
• Excellent communication skills, both verbal and written
• Strong interpersonal skills and the ability to demonstrate empathy and compassion with excellent customer service.
• Proficiency in case management software and Microsoft Office Suite (MS Office - Word, Excel, PowerPoint and Outlook).
• Willingness to be on on-call and available during nights and weekends. We offer incentives for on-call availability during these times.

Physical Demands:

Ability to sit and/or stand for extended periods. Use hands and fingers to operate computes and other office equipment. Clear and articulate verbal communication skills for phone conversations and in-person interactions. Occasional lifting and carrying of files or other materials, up to 20 pounds.
