Description

Job Function

To perform the primary responsibility of efficient and accurate checking of all grocery vendor deliveries and to perform other functions as required in Produce, Point-of-Sale, and Receiving in an efficient manner within company policy, to ensure that the shift contributes to the financial best interests of the store.

Duties and Responsibilities

The essential duties and responsibilities of this position include, but are not limited to, the following:

A. General

  1. Observe all store rules and company policies;
  2. Maintain a neat, well-groomed personal appearance at all times and observe company dress regulations;
  3. Observe shift operating hours at all times as scheduled or assigned by store manager;
  4. Adhere to all local, state and federal health and civil code regulations;
  5. Responsible for enforcing store operating hours for receiving operations according to company policy;
  6. Responsible for controlling the flow of vendor traffic through receiving doors;
  7. Receive all merchandise and process all credits according to company procedures;
  8. Check and verify all grocery receivings to ensure that the items listed on vendor invoices are actually delivered and meet store policy for quality, count, and condition;
  9. Verify that all vendor invoices include legible pricing and are properly extended;
  10. Flag attention to any discrepancies and shortages on invoice documents and obtain signature of delivery vendor for confirmation of such shortages according to company procedure;
  11. Communicate promptly to the store manager any problems or situations which may affect the integrity of the store or of the vendor;
  12. Perform accurate posting of all invoice documents to the receiving log and place all signed invoices in designated secure area;
  13. Take stock to applicable storage and/or work load areas;
  14. Handle damaged and spoiled products according to company policy and assist in controlling the level of damaged goods;
  15. Be knowledgeable in and both able and prepared to perform all duties of an experienced grocery clerk’s position;
  16. Comply with safety policies and procedures and participate in store’s Safety Committee;
  17. Assist in training associates when assigned;
  18. Control excessive use of utilities and water and observe sound conservation practices;
  19. Greet all customers and provide them with prompt and courteous service or assistance.

B. Bookkeeping

  1. Record all shift hours worked on time card according to company policy and verify by signature the accuracy of all time worked;
  2. Be familiar with invoice documents so as to properly and accurately identify item description, sizes and prices;
  3. Maintain log on any irregularities or discrepancies encountered between invoice and receiving amounts including the method employed by vendor to resolve the discrepancy;
  4. Record invoice documents accurately on the receiving log and place signed invoice in the designated secured area;
  5. Accurately record shortages and damaged shipments on appropriate forms in accordance with company policies;
  6. Process all credits in accordance with standard operating procedure.

C. Merchandising

  1. Keep perishable merchandise rotated in accordance with store policy and product code dates and pull all out-of-code merchandise from active storage areas for appropriate credit/return-to-vendor or for disposal, as applicable, according to company policy;
  2. Follow approved procedures for receiving product to ensure quality protection, accuracy and product rotation.

D. Maintenance

  1. Maintain general housekeeping and sanitation standards in compliance with store policy and state and local health regulations on a regular, ongoing basis;
  2. Keep all warehouse, receiving, storage and spoils areas clean, clear and in good order;
  3. Maintain required clearances in front of all doors, electrical panels, and sprinkler controls;
  4. Sweep warehouse floors as required;
  5. Assist in responding promptly to emergencies or potential safety hazards such as spills and broken glass or plastic containers that contain liquid products;
  6. Check refrigeration equipment for proper performance a minimum of one time per shift;
  7. Use and maintain equipment in good working;
  8. Immediately advise store manager of any maintenance or equipment problems.

E. Security

  1. Adhere to company policy pertaining to excessive cash in registers and request cash pickups in accordance with such policy;
  2. Observe security standards by staying alert and being aware of customer actions and behavior; report to manager or security any abnormal behavior;
  3. Secure register prior to leaving a register unattended; protect company assets at all times.

F. Personnel

  1. Maintain good communications with supervisors and co-workers throughout the organization;
  2. Notify store manager of personnel situations or policy violations having an adverse effect on store operating performance or of situations requiring disciplinary action or that may potentially require such action.

Education and/or Experience

  1. Should have a high school education and successful or concurrent participation in an apprenticeship/training program or equivalent combination of education and experience;
  2. Some familiarity with accounting functions and principles desirable but not required.

Mathematical Skills

  1. Must be able to calculate figures and amounts such as discounts, gross margins, markup, percentages, ratios, ad loss, shrinkage, and to apply basic concepts of algebra;
  2. Ability to handle sales transactions, tender correct change, verify vendor invoice charges and counts, process credits, and complete and submit required records and reports including inventory and receiving reports.

Language Skills

  1. Ability to hear, speak and understand the spoken word in order to respond promptly to pages for assistance, to accommodate verbal requests from customers for information or assistance, to answer telephones, and to be able to communicate effectively with department employees, the store’s co-workers and customers;
  2. Ability to read, write, analyze, interpret and understand the English language with sufficient proficiency in order to read and understand:
    1. instructions for operating electrical equipment and tools
    2. company handbooks, policies and procedures and
    3. other written job-related documents including postings on company bulletin boards;
  3. Ability to fill out forms and compose and write business memos and reports.

Reasoning Ability

  1. Ability to solve practical problems and deal with a variety of concrete variables in circumstances where only limited standardization may exist;
  2. Ability to interpret a variety of instructions furnished in diagram, oral, schedule, or written forms.

  1. Be fully knowledgeable and thoroughly familiar with the nature and duties of every staff position in the department including procedures, policies and operations;
  2. Be able to pass a standard drug test and qualify as being drug-free under the legal and medical guidelines permitted by the Drug Free Workplace Act of 1988;
  3. Be able to perform all duties and responsibilities in an efficient and satisfactory manner that meets the minimum standards for productivity, accuracy, cleanliness, harmony and safety established at the employer’s individual site (normally measured but not necessarily limited to units of one or more of the following: total transaction throughput, unit time per task, sales per man-hour, and/or cases, units, tasks or pounds per man-hour).

Physical Requirements

The physical demands described below are representative of those that must be met by an employee to successfully perform the essential functions of this job. Some requirements may be modified to accommodate individual with disabilities:

  1. While performing the duties of this job, the employee is regularly required to sit; stand; and use the hands to handle, finger, or feel objects, tools or controls;
  2. The employee must frequently walk, talk or hear, and reach with the hands and arms; occasionally, the employee must crouch or kneel;
  3. The employee must occasionally exert or lift up to 100 pounds moving pallets, carrying cartons of milk and drinking water, and bulk/industrial containers of food products such as rice and frequently exert or lift moderate amounts of weight;
  4. Successful performance requires specific vision abilities that include close vision and the ability to adjust focus including sufficient visual acuity to check identification cards, checks, invoices and other written documents;
  5. Be able to climb a ladder to retrieve inaccessible items for customers located above freezer cases or from stockrooms and other storage areas;
  6. Be able to sweep and mop floors, dust and face shelves, and lift and carry out trash containers to be emptied in an outside bin;
  7.  Have sufficient physical mobility or agility to be able to respond quickly to fire or other emergencies such as cleanup requests (due to accidental spills or breakage of glass or plastic containers having liquid contents), shoplifting and other security assistance requests, customer accidents, etc.;
  8. The employee must be able to stock coolers and shelves and endure working under temperature extremes in refrigerated storage areas up to 20 minutes at a time;
  9. The employee must be able to work with fresh fruits, vegetables, house plants and flowers without negative allergic consequences that adversely impact performance;
  10. Be able to tolerate moderate amounts of dust and chemical fumes from common household cleaning agents such as ammonia during routine housekeeping duties;
  11. Have sufficient memory retention skills to monitor and keep track of vendors, product counts, invoices, shortages, and to record discrepancies immediately on receiving logs and other documents.

Work Environment

The work environment conditions described below are representative of those an employee encounters while performing the essential functions of this job. It may be possible to modify some circumstances to accommodate individuals with disabilities:

  1. The work environment includes occasional exposure to, in, or around refrigerated storage areas with temperatures and relatively damp and humid conditions;
  2. Typically, the noise level in the work environment is moderate; however, on occasion, it can be somewhat noisy when power tools and equipment are in use;
  3. Access to break rooms, offices and all employee restrooms require ascending/descending a flight of stairs; there may be no restrooms at street level nor are there any public restrooms available elsewhere on the premises.
  4. The employee may be required to perform the duties of this job during the same time period when maintenance associates or outside janitorial services are concurrently performing their respective duties and services; under such circumstances, the work environment may include wet or slippery floor surfaces and moderate levels of airborne contaminants such as cleaning or floor finishing chemicals and odors;
