Position Description

The Client Relations and Operations Specialist may be a good fit for you.
The Client Service and Operations Specialist is a dual role where part of your time will focus on client service and managing existing relationships and the remaining time will be spent ensuring the completion of various back-office procedures. As in any small business, every day is different, and you will be a jack of all trades. This job will be in part of what you make of it, with room for growth in responsibility and compensation. Helping clients, you will research and resolve client requests, assist in onboarding new clients, process and maintain account records, and prepare client correspondence. At the office you will work in a professional and collaborative environment with all employees to aid in processing and filing paperwork, preparing quarterly client correspondence, generating reports, maintaining compliance records, and assisting other employees in maintaining and upgrading technology to perform more client servicing activities electronically. This position is NOT a sales role.
Additional responsibilities include, but are not limited to:
· Downloads and maintains daily custodian files and records
· Gathers, organizes, and processes pertinent information from clients and custodians for record maintenance
· Ensures required client paperwork is current with firm and industry requirements, rules, and regulations
· Maintains and improves electronic and paper filing systems and databases
· Composes and/or transcribes emails, marketing materials, and client correspondence accurately and efficiently
· Monitors and ensures the custodian processes and completes client paperwork
· Adheres to firm compliance policies and industry regulatory standards
· Answers phone and responds to client emails in an efficient and professional manner
· Schedules and coordinates client meetings and maintains firm calendar
Qualifications
· Desires learning about new aspects of the financial services industry and technology
· Effective computer skills and experience working with Microsoft Office products
· Provides a high level of customer service and personal integrity
· Effective oral and written communication
· Persuasive writing and marketing skills are a plus
· Manages and completes multiple detailed tasks and assignments
· Detail oriented and organized with excellent follow-up skills
· Self-starter that takes initiatives to improve firm back-office processes
· Ability to work independently and as part of a team
· Registered Series 65 Investment Advisor Representative is a plus
· Experience with Financial Services custodian software, portfolio reporting software, and Customer Relationship Management (CRM) software is a plus
Benefits/Compensation
· Full time position (hours between 8:30am – 5:00pm)
· Competitive salary commensurate with experience ($50,000-100,000 )
