Summary

The Marketing Operations Assistant Manager is responsible for the day-to-day behind-the-scenes organization of Freeman’s marketing team. This role wears a multitude of hats ensuring that new employees are trained, operational processes are carried out, projects are efficiently managed, and on-site logistical needs are met. The ideal candidate will be highly organized, have a keen eye for detail, and strong project management and follow up skills.
This position will support our Marketing team. It is eligible to work a hybrid schedule, generally requiring work in-office and/or show-site 2-3 days per week. The ideal candidate will be located in Dallas, TX.

Essential Duties & Responsibilities

  • Assist in managing cross-department projects. Ensure tasks are tracked in Asana (the team’s project management tool), handoffs are seamless and deadlines are met.
  • Assist with onboarding of new hires. Ensure basic materials are shared, logistical questions answered and access to appropriate work locations is granted in a timely manner.
  • Ensure team organizational charts are routinely updated (including roles & responsibilities) and accurate (name spellings, job titles, etc.).
  • Coordinate the ordering and return of all marketing equipment. Run CARF (when new employees start, or a change is needed).
  • Facilitate PTO process for entire marketing team – seek manager approvals, enter Paid Time Off into Kronos, add PTO schedules to the marketing calendar.
  • Run payroll process for part-time employees.
  • Drive ordering on ESCA when needed.
  • Assist with packaging and shipping as needed.
  • Assist with invoicing and PO process. Ensure all invoices are received, tracked and aligned to a correlating PO. Audit monthly and create new orders where needed.
  • Ensure the team’s project management tool is continually updated and organized. Pull reporting on project landscape and requests on a routine basis.
  • Assist on special projects as needed.

Education & Experience

  • Minimum of 5 years of applicable administrative or project management experience.
  • Skillful execution of administrative activities, with high attention to detail, organization, and process.
  • Experience with the setting up and management of virtual meeting platforms such as Zoom, and conference calls.
  • Strong teamwork skills: and a confident ability to offer suggestions and improvements to process and work very collaboratively with others.
  • Strong relationship management skills, ability to build a personal network throughout the company.
  • Project Coordination experience needed at an intermediate complexity.
  • Strong oral and written communication. Ability to communicate clearly and effectively with senior leaders and external partners.
  • Previous experience partnering with senior management in a fast paced, innovative environment.
  • Strong attention to detail. Highly organized.
  • Experience working with/in large administrative teams.
  • Working proficiency of Microsoft and Google Suite. Experience using Asana, Salesforce, and Marketo are a plus.
