STUDY BACKGROUND:

The Women’s Health Initiative (WHI) is a major, long-term research program designed to address cardiovascular disease, cancer and osteoporosis – the most frequent causes of death, disability and poor quality of life in postmenopausal women. It is one of the largest U.S. prevention studies of its kind and it is currently in its third extension. The WHI Clinical Coordinating Center (CCC) is located at Fred Hutch. In addition to the WHI CCC, NIH has recently launched a program for a new coordinating center and Fred Hutch has been chosen to coordinate this national effort. The objective is to provide scientific, statistical, and cultural expertise and coordination support to establish a population-based cohort focusing on Asian Americans, Native Hawaiians and Pacific Islanders, studying health conditions and disease burden that are unique and common for this population.Please include a cover letter describing your interest in this position.

Responsibilities

The Research Administrator I/II works independently and in collaboration with other Research Administration operational staff to assist with providing compliant and effective funding, budget and regulatory administration, and general administrative support for both coordinating centers.Research Administrator I

Budget & Fiscal Support

  • Develop, monitor and track simple or basic budgets
  • Run standard reports to support budget management
  • Gather and enter receipts and other documentation into relevant systems and tools to support monitoring of expenses against budgetsFunding Source Administration
  • Conduct the administrative aspects of pre and post award activities as directed, such as gathering documents, assisting with completion of content, acquiring signatures and formatting content to adhere to submission guidelines
  • Coordinate the adherence to submission timelines to ensure that deadlines are not missed

Regulatory Support

  • Complete forms and other documentation as directed to ensure compliance
  • Prepare IRB submissions including but not limited to: Initial Application, Modification, Continuing Review, non-compliance and unanticipated events
  • Ensure that research staff have met the standard training requirements regarding Human Subjects and GCP trainings. Organize annual Human Subjects Trainings with IRO

Administrative

  • Editing and tracking content for presentations, CVs, bio sketches, and publications
  • Time keeping and other personnel administration support
  • Committee support for the multiple committees and working groups
  • Organize meeting logistics, create agendas, and take meeting notes

Research Administrator II

Budget/Fiscal Support

  • Develop, monitor, track and project complex multi variable budgets
  • Develop custom report formats to share information with the team/department
  • Run and analyze reports to identify issues
  • Approve budgets and expenses as required
  • Partner with finance to resolve identified budget and expense issues

Regulatory Support

  • Manage renewal timelines and ensure completion of regulatory documents in a timely manner
  • Identify necessary regulatory components of submissions, confirm that required items are in place and escalate issues as needed
  • Determine impact of and develop implementation plans in response to applicable regulatory changes and/or revisions to Center policies and procedures
  • May serve as a central point of contact to answer questions, escalating issues as needed

Administrative Support

  • Complete or delegate key administrative tasks such as travel coordination, editing CVs and publications, purchasing and maintenance of supplies and equipment
  • Identify administrative issues for discussion with leadership
  • Assist with the development of lower level staff
  • May manage projects including occasional event planning and management
  • May assist in the training and development of team members

Qualifications

Research Administrator I

Required:

  • HS Diploma or Equivalent
  • Attention to detail
  • Basic proficiency with MS Office Suite/Adobe
  • Ability to design customized reports
  • Planning/organization of one’s own work
  • Work with different styles of leadership and adjust to their needs
  • Ability to maintain confidential information
  • Teachable/quick learner
  • Flexibility
  • Calm under pressure
  • Basic understanding of how to create budget projections

Preferred:

  • Associates or Bachelor’s Degree
  • Two years of experience in a research and/or non-profit organization
  • Basic knowledge or experience with the process of funding mechanisms, and related common acronyms
  • Knowledge of grant submission forms and their uses

Research Administrator II

Required:

  • Bachelor’s Degree
  • Two years of experience in a research and/or non- profit organization
  • Attention to detail
  • Proficiency with MS Office Suite/Adobe
  • Ability to design customized reports
  • Planning/organization of one’s own work
  • Work with different styles of leadership and adjust to their needs
  • Ability to maintain confidential information
  • Teachable/quick learner
  • Flexibility
  • Calm under pressure
  • Basic understanding of how to create budget projections

Preferred:

  • Basic knowledge or experience with the process of funding mechanisms, and related common acronyms
  • Knowledge of grant submission forms and their uses

The hourly pay range for the I level position is from $26.20 to $37.31 and pay offered will be based on experience and qualifications.

The hourly pay range for the II level position is from $29.42 to $44.11 and pay offered will be based on experience and qualifications.
