Description
Leads the development of the subleasing, solicitation, community outreach, lease negotiation, tenant onboarding and operational readiness of the retail merchandising units (RMUs) at IAD and DCA.
Job Summary
The Operations, RMU Leasing Manager performs advanced professional work requiring knowledge, understanding and application of real estate, property administration, and procurement principles and practices. The position has responsibility and accountability for administrating the solicitation processes that result in complex leases and managing the sublease process of the retail merchandising units at IAD and DCA as an integral part of a comprehensive property management and concessions development program.
Key Job Responsibilities
  • Serves as the main point of contact for the RMU program at IAD and DCA for lease administration, Subtenant onboarding and program execution.
  • Implements, assesses, and improves RMU leasing processes.
  • Coordinates with tenants on the successful transition of concepts and/or operators.
  • Serves as a point of contact for Subtenant inquires and questions related to sublease standards and compliance matters.
  • Other responsibilities as assigned.
Key Job Functions
  • Coordinates and prepares lease solicitations, including drafting solicitation notices, publishing, and disseminating notices to prospective/interested responders, assessing and reviewing proposals for completeness and compliance, drafting lease-related documents, and assisting with development of initial financial proformas, operating agreements, and other relevant documents.
  • Coordinates and prepares presentations for outreach events and workshops on available opportunities for the local business community.
  • Administers RFP issuance, review and approval process steps including, but not limited to, drafting RFPs, compiling and maintaining distribution lists, assembling the evaluation and review packages, submitting complete proposal packages to Fraport USA and MWAA approvers.
  • Assists with RFP proposal evaluation reports and facilitates the selection review process, including distributing results to proponents and maintaining related documents and reports.
  • Collaborates and coordinates with Fraport USA Legal and Finance for approved sublease document terms and draft documents.
  • Collects all new sublease documents and fees including certificate of insurance, security, and construction deposits.
  • Coordinates the receipt, consolidation, and submission of all sublease revisions and/or amendments generated from approved negotiations for necessary approvals.
  • Assists with developing market strategies to attract new tenants and participates in ongoing outreach efforts.
  • Provides subtenants guidance and instructions on application and submittal processes for ACDBE participation.
  • Coordinates document collection and submission through the appropriate internal review process for compliance monitoring and reporting.
  • Performs record maintenance, file creation, filing and retention of sublease records.
  • Responsible for routing records to the appropriate corporate and or airport repository.
  • Issues subtenant notification when non-compliant with sublease terms, or not in good standing. Provides administrative support with the issuance of violation notices and creation of resolution plans.
  • Administers fines and default notices when appropriate.
  • Creates and maintains potential future brand, operator, and concept contact info on a database/contact list.
  • Performs terminal walks, including occasional holiday coverage to ensure adequate tenant operational oversight and tenant coordination.
  • Other duties as assigned.

Requirements

  • Advanced knowledge of commercial leasing documents and terms and fee structures
  • Advanced knowledge of lease procurement procedures and best practices.
  • Ability to review and assess tenant qualifications against stated criteria.
  • Ability to prepare and maintain records for internal and external use.
  • Proficiency in Microsoft Office (Word, Outlook Excel, PowerPoint, and SharePoint) and Adobe Acrobat software applications.
  • Ability to establish and maintain effective working relationships with the public, current and potential customers, appointed officials and governmental agencies and co-workers.
  • Exceptional verbal and written communication skills.
  • Ability to make compelling presentations to large groups.
  • Ability to multi-task and prioritize workload among shifting priorities and deadline pressures.
  • Ability to exercise judgment in resolving complex and often unexpected issues.
  • Willing to cross-train on major functions within Operations.

Required Education
  • Bachelor's degree in business administration, real estate, or closely related field
Alternate Education
  • Associate degree and an additional 5 years or experience in a related position performing duties of a similar complexity.
Required Experience
  • Five years performing commercial and/or private property management.
  • Demonstrated real estate lease or landlord administrative experience.
Licenses & Certifications
  • Ability to obtain and maintain airport Security Identification Display Area (SIDA) badge.
  • Driver's License may be required and must be maintained.
Physical Demands
  • Moving from one work location to another, sitting or standing at a workstation for extended periods of time, extended periods of walking in an airport terminal.
  • Travel between two metropolitan airport locations.
  • May involve lifting objects weighing up to 15 pounds.
  • Must be able to perform the physical requirements of the position with or without reasonable accommodation.
Work Location
  • Dulles International Airport & Reagan National Airport - division of time/location in coordination with Vice President.
  • Travel up to 10% to corporate office, meetings, events, and conferences.
Work Schedule
Core work hours are Monday - Friday 8:30 - 5:00pm, but workload may necessitate additional hours to include evenings and weekends.
