Position Description

The Contract Administrator plays a pivotal role in overseeing contract-related activities for assigned projects within Fortis. This multifaceted position involves the preparation, review, administration, and revision of subcontracts. This position will possess an exceptional eye for detail, a knack for identifying potential risks, and a dedication to analyzing contracts to optimize cost-efficiency and profitability, all while ensuring strict legal compliance. This role also involves obtaining necessary approvals and ensuring adherence to our standard company protocols.

Responsibilities

  • Independently manage contract-related tasks and deliver exceptional, meticulously detailed work
  • Proactively communicate timeliness expectations with internal and external business partners to insure prompt execution of all vendor agreements
  • Prepare, process, and oversee various vendor agreements, including subcontracts, purchase orders, consultant agreements, subcontractor change orders and other project-related documents
  • Conduct diligent follow-ups with subcontractors, vendors, and third parties to ensure timely submission of required documents and information. Analyze documents and information for compliance
  • Serve as a central hub for information dissemination and status updates, acting as a gatekeeper for contractual conditions, notifications, deadlines, and deliverables, in alignment with internal procedures
  • Provide support to the procurement and operations teams by creating all vendor agreement templates for each project
  • Aid project management in establishing and maintaining organized project records
  • Maintain a well-organized system for digital records. Fluent in various file storage requirements (by project)
  • Handle confidential information with care, maintaining a high level of data entry accuracy, and consistently meeting strict deadlines
  • Provide constructive feedback to enhance and streamline contract-related processes.
  • Assist in other duties as assigned, relevant to the achievement of the position's and team's objectives.

Position Requirements

Required Qualifications

  • Bachelor’s degree in Business Administration or 3-5 years of construction administration experience working with the flow of a construction project and contract documentation requirements
  • Experience working in Business to Business with ability to read and understand contract language and use this knowledge in negotiation with customers
  • Demonstrate high level of proficiency with all MS Office products
  • Exceptional analytical skills to identify potential risks and opportunities within contracts
  • Strong organizational skills to efficiently manage contract-related tasks and responsibilities
  • Able to collaborate effectively with teammates across varying levels of seniority, including staff, managers, and external partners, by adapting communication styles to suit different audiences
  • Able to effectively prioritize and manage multiple tasks, demonstrating composure under pressure while paying strict attention to detail to meet project deadlines
  • Able to work independently while consistently delivering high-quality work
  • Must possess a valid drivers license and a satisfactory driving record in accordance to Fortis policy.

  • Background in law and/or insurance

Physical Requirements:

Work is performed in a professional office environment. Role is primarily stationary, often standing or sitting for long periods of time. Role may stand or walk throughout the office for up to 30 minutes at a time. Utilize standard office equipment such as computers, phones, photocopiers, etc. Communication with internal and external contacts, including speaking and hearing. May occasionally move equipment up to 25 lbs.

Travel Requirements:

Potential ad hoc travel – not a bone fide occupational qualification. All Fortis positions require some level of driving.
