The HQ Manager is the first person to greet guests, new hires, and team members, which means they set the tone for people’s experience at Food52. We want that experience to be personal, positive, and memorable. Our HQ manager is responsible for organizing and executing a wide variety of duties to make sure our headquarters run smoothly and efficiently; they are expected to create and maintain a positive work environment, maintain our beautiful and inspiring space, and provide clear communication and safety for the team.

This position is on-site in our Brooklyn Navy Yard office, 8:30am - 5:30pm Monday - Friday.

Key Functions

Create a warm and tidy office environment

  • Set a warm, friendly tone in the office and be a helpful, enterprising resource for team members
  • Ensure the office appearance is ready and organized for guests and employees at all times, including organizing and maintaining closets, common drawers, printer area, etc.
  • Register and greet visitors; provide refreshments and make them feel welcome
  • Arrange any necessary repairs to keep the office and test kitchen running as expected
  • Provide office tours to new hires or partners as needed
  • Organize, order, and stock office and kitchen supplies

Act as the point of contact for employee and building management needs

  • Collaborate with team members to coordinate large internal meetings and events
  • Maintain timely communication with staff and leadership to keep everyone informed concerning needs, opportunities, and risks
  • Facilitate office security measures and be prepared to assist when an issue arises
  • Submit appropriate building work orders and service requests, including visitor passes 

Work with cross-functional stakeholders to execute in-office events

  • Maintain the office event calendar and employee communications about upcoming events 
  • Support setup and breakdown of events, as needed
  • Liaise with building management and facility vendors to ensure all Certificate of Insurance documents (COI’s), deliveries, and other needs are approved prior to events, including garbage disposal, parking and building guest passes, and storage for any event props in the office

Oversee and support administrative duties in the office

  • Manage facility vendors, including cleaners, delivery services, and caterers 
  • Manage all inbound and outbound mail and packages; this may include occasionally moving, assembling or dis-: packages.
  • Run errands, as needed
  • Support special projects as needed

Coordinate on-site IT needs

  • Comfortable with office hardware and software and quick to learn new technologies
  • Support new hires with initial IT setup
  • Do a daily sweep of conference rooms to ensure all technology is functioning as expected

Manage the office budget and ensures accurate and timely reporting

  • Control and approve supply requisitions
  • Manage contract and price negotiations with office vendors and service providers
  • Ensure all items are invoiced and approved for timely payment
  • Substantiate and submit expense reports, as needed

Qualifications & Requirements

  • 2 years of experience managing an office of at least 50 employees
  • Experience working in a hospitality setting is preferred but not required
  • Proficient in Google Workplace, Slack, Microsoft Office
  • Technical experience with copiers, scanners, Macs and PCs
  • Excellent written and verbal communication skills
  • Able to work varied hours if necessary for special events 
  • Be excellent at managing multiple competing priorities
  • Be able to independently identify what needs to be done, and then act
  • Strong attention to detail
  • Be dependable and team oriented
  • Strong problem solving and analytical skills
  • Bilingual preferred (Spanish and English)

Physical Requirements

  • Office environment 
  • Routinely lifts, carries and moves materials up to 50 pounds
  • Use of a computer up to 8 hours per day

Compensation

For residents of CT, NJ or NY the compensation for this role is $100,000 to $115,000. Factors used to determine the salary range for a given position may impact what salary within the stated range may be offered to any particular candidate (e.g., years of experience, level of education obtained, etc.).
