Bilingual Receptionist - Move in Specialist

Role: Bilingual Receptionist - Move in Specialist
Reports to: Experience Director 
Compensation: TBD; Based on experience 
Location: Office is in Kaukauna

What you are great at: (responsibilities)
  • Coordinating with future residents with move in procedures and answering questions 
  • Create energy through calls on them move in process 
  • Communicate effectively through phone, email and text messages
  • Assist with building a strong service culture and creating “wow” moments to those we serve
  • Use Appfolio to communicate and send out necessary information to new residents.
  • Organize, audit and review leases to ensure all charges and information is accurate before move in
  • Respond to all resident inquiries in positively and professionally 
  • Help in response to Google Reviews and any resident complaints.
  • Coordinate with other departments on a daily basis to prepare for move ins
  • Assist in diffusing situations and identity solutions to various situations.
  • Answer and direct phone calls in a polite and friendly manner
  • Welcome visitors in a warm and friendly manner, and answer any questions visitors have
  • Maintain reception area and all common areas in a clean and tidy manner at all times
  • Operate standard office equipment on a regular basis, including a fax machine, a copy machine, and a computer
  • Receive deliveries; sort and distribute incoming mail
  • Call move outs for exit interviews to see where Focus can improve on behalf of our residents 
  • Take inventory of supplies and restock as needed
  • Maintain the general office filing system

  • Interpersonal skills to create a pleasant experience for all residents, such as being personable and attentive.
  • Provide solutions and anticipate needs of others.
  • Excellent computer skills. Must be proficient in Microsoft Office including Outlook, Word, Excel and PowerPoint and Google Drive functions.
  • Desire to be proactive and create a positive experience for others
  • Bilingual Spanish - Preferred
