Job Title: Grants & Funding Manager

Reports To: Executive Director

Position: Full Time (salaried, exempt)

Location: Flagstaff, AZ (hybrid-remote)

Overview

The Grants Manager plays a vital role in the entire grant life cycle, coordinating pre-award, contract, and post-award management for a diverse portfolio of grants at Flagstaff Shelter Services (FSS). Reporting directly to the Executive Director, this position is responsible for ensuring donor compliance, managing reporting, donor submissions, conducting project cycle meetings, maintaining project document records, and preparing donor briefs and communications. The Grants Manager will also supervise a Grants Coordinator and work closely with other Grant team members, supporting the fundraising goals and efforts of FSS.

Teamwork: Collaborate with colleagues across various departments, fostering a cooperative and inclusive work environment. For the Grants Manager, actively engage with the Grants Coordinator, Grant Writer, and other team members to ensure seamless communication and coordination in all grant-related activities.

Public Interaction: Demonstrate professionalism and a positive attitude in interactions with external stakeholders, donors, and partners. As a Grants Manager, represent FSS in a positive light during interactions with funders, participating in meetings and events as needed.

Service: Prioritize the needs of FSS clients and the community, ensuring that grant activities contribute to the organization's service-oriented approach. For the Grants Manager, align grant proposals and activities with the overarching goal of providing impactful services to those in need.

Efficiency: Optimize workflow processes to enhance overall organizational efficiency. In the Grants Manager role, manage grant timelines effectively, ensuring timely submissions, reporting, and compliance to maximize funding opportunities.

Organization: Maintain meticulous records and documentation in accordance with FSS standards. Specifically for the Grants Manager, uphold a high level of organization in grant management, ensuring accurate and up-to-date information in tracking systems and documentation for each funded program.

Essential Duties and Responsibilities

Grants Management

  • Manage grants throughout the entire life cycle, including proposal submission, award management, reporting, and closure.
  • Utilize grants management tracking systems for public and private opportunities, maintain proposal calendars, and update leadership with accurate data.
  • Develop and maintain contract and grant submissions documentation for each funded program with consistent standards.
  • Participate in grant opening, closing, and budget meetings.
  • Work closely with program leadership to prepare interim and final reports to grantors.
  • Maintain grant documentation in both paper and digital forms.
  • Deliver high-quality products for a large portfolio within tight deadlines.
  • Collaborate with the leadership team on donor strategy and stewardship.
  • Supervise the job duties of the Grants Coordinator(s) and ensure performance and efficiency in meeting audit and submission deadlines, collection of data and reporting, and other key performance indicators that benefit the timeliness and efficiency of FSS funding efforts.

Grant Monitoring, Evaluation, and Compliance:

  • Collaborate with program staff to develop key performance indicators and a comprehensive strategy for measuring the impact of services.
  • Ensure grant compliance of program activities and monitoring with funding, contracting, and licensing entities.
  • Inform operational and programmatic staff of all grants and/or contract requirements, amendments, and monitor compliance.
  • Ensure all grant activities and operations comply with local, state, and federal funder regulations.
  • Research private and public funding opportunities and lead the development of new proposals.
  • Work with program staff to understand the theory of change, funder compliance, and the grant process.
  • Participate in leadership meetings, staff development activities, and fully engage as a team member.
  • Act as the point of contact for communication between FSS and regular funders.
  • Participate and lead the team effort during grant audits.

Education, Experience, and Qualifications

  • High school education, GED, or the equivalent
  • 2 years of experience working in a human services field preferred or equivalent knowledge, skills, and abilities.
  • Previous supervisory experience 
  • General knowledge of Microsoft Office (Word and Excel)
  • Experienced in data entry.
  • Strong written and verbal communication skills.
  • Undergraduate degree with certification or continuing education in grant writing, proposal development, and/or fundraising preferred.
  • Demonstrated history of successful grants and reports for non-profits, foundations, corporations, and government agencies in a mid-to-large nonprofit environment.
  • Knowledge in strategic planning, work plan development, needs assessments, and evaluation.
  • Exceptional writing, research, and organizational skills.
  • Project management experience or certification preferred.
  • Familiarity with the Arizona nonprofit/philanthropic environment preferred.
  • Ability to work autonomously, prioritize within tight deadlines, and focus on the work product.
  • Self-directed but with strong interpersonal skills and the ability to work well within a team.
