FirstService Residential is Hiring a Front Desk Associate Near Carlsbad, CA

Job Summary:

Oceanside Community Association is a senior independent living community. The Front Desk Associate works under the direction of the Community Administrator and the General Manager. They are responsible for providing general and administrative and clerical office support to all departments, greeting and assisting members, guests, and renters who visit or call the Association office, maintain Association property files, and Member I.D. Card system.

Compensation:$19-$22

FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage willalsobe premised upon the client's directive. The base pay range is subject to change and may be modified in the future.

Your Responsibilities:

  • Answer phone calls
  • Receive and assist people coming into the business office lobby.
  • Process mail daily
  • Receive and process checks
  • Receive & process work orders from homeowners
  • Receive and process (update database, scan to owner lot file) resident age verification forms, vehicle registrations, pool key rentals,
  • Assist with large mailings
  • Accepts registration and payment for events
  • Make tax Jan. through April
  • Perform general secretarial and office support duties, i.e. correspondence, photocopying, spreadsheets
    • Monthly sublease escalation letters
  • Work with GM and Landscape Site Supervisor daily updating database and homeowners
    • Monthly Landscape Committee Meeting packet
    • Monthly update of Minutes Binder located in the library
  • Prepares all notices for posting as required on Community Boards
  • -weekly
  • Maintain committee volunteer folders
  • Scans documents to homeowner files as necessary
  • Organizes Highlights newsletters and arranges for distribution
  • Check out and accept back Share & Wear money bags daily
  • Maintain inventory of Welcome Packets
  • At end of each day, put any food away in kitchen, wipe down countertops
  • Maintain Lobby outside forms box area ensuring adequate copies are always available to members
  • Maintain all Association forms ensuring forms box in lobby and clubhouse are maintained
  • Assist Community Administrator in tracking supplies for reordering, etc.
  • Assist with special projects as required.

Skills and Experience:

  • High school diploma or equivalent
  • Some college preferred
  • 3-5 years of customer service experience or similar position
  • Knowledge of basic office procedures
  • Customer Service Oriented
  • Excellent Verbal and Written Communication skills
  • Follow-up and attention to detail
  • Previous HOA experience is a plus but not required
  • Skilled and comfortable in working with a diverse group of homeowners, homeowner volunteers, staff and vendors
  • Highly organized with an ability to meet deadlines
  • Team player, open to cross-training in other administrative areas
  • Proficient at database entry, Microsoft Office, Word, PowerPoint and Excel

  • Must be able to lift 30 lbs.
  • Ability to lift, push and move equipment and furniture.
  • Must be able to sit and stand for extended periods of time.
  • Talking and listening occur continuously in the process of communicating with clients, guests, supervisors, associates, and vendors.
  • Must be able to communicate both on the phone and in person in order to resolve issues related to the business.
  • Must have finger dexterity for typing/using a keyboard.
  • Must be mobile enough to move around the office and during outside events; including walking on uneven surfaces and standing for long periods of time.
  • Ability to work with inside and outside environmental elements (noise, weather, etc.).
  • Ability to work around pool equipment and chemicals.
  • Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Hours over and above normal office hours will occur, including evenings, holidays, and some weekends. Schedule is subject to change based on business needs.
