SUMMARY

Under the supervision and guidance of the assigned Loan Officer: coordinates the preparation of loan documents for closing consumer, commercial, and real estate loans to ensure full compliance and quality of documentation for funding.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Maintain strict privacy regarding customer account information. Maintain customer confidence and protect bank operations by keeping information confidential.
  • Provide customers with exceptional customer service and executes operational excellence. In person: Greet every customer with a smile, maintain eye contact, call them by name, stay connected in conversation and let them know they are appreciated. When on the telephone: Speak with a smile, call them by name, stay connected in the conversation and let them know they are appreciated.
  • Facilitate and maintain communication between loan officer, customers, appraisers, attorneys, branch staff, outside vendors, title company closing agents and insurance companies. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Assist customers and officers with the processing of loan payments, loan advances, construction advances and DDA transfers on the same day as requested. Ability to use common sense understanding in order to communicate effectively and carry out detailed written or oral direction.
  • Coordinates and organizes loan packages prior to documentation, working closely with documentation preparation specialist to ensure approved and renewed loans are documented properly.
  • Schedule and perform closing for commercial, real estate, letters of credit and for SBA loans transactions and courtesy closings for consumer transactions when needed.
  • Creates and maintains support loan files by working loan exception reports, photocopying pertinent documents, verifying insurance documents, and requesting missing documents.
  • Collect all required paperwork and submit to Loan Operations for preparation of loan documentation, including forms for ordering documents for new or renewed loans, flood certificates, title work, appraisal engagements, pulling UCC lien searches and credit reports.
  • Constantly has close visual acuity to view computer terminal and extensive reading to review all loan documents to ensure they are complete & accurate according to the entity documentation, loan approvals and policies and procedures prior to CTC approval and borrower loan closing. Send complete loan package for booking ad record all appropriate collateral documents. Constantly identify these items for accuracy and determine how to resolve issues.
  • Order title commitments and demonstrate an understanding of the title requirements to be satisfied before closing on residential and commercial properties.
  • Prepares correspondence, loan documents, forms and statistical information. Intermediate mathematical aptitude and ability to calculate interest, commissions, proportions and percentages. Able to add, subtract, multiply and divide using whole numbers, fractions, and decimals.
  • Researches and prepares weekly past due loans and collateral exception reports, HMDA reporting, and quarterly criticized loan report. Frequently track and resolve outstanding loan exception items in collateral tracking including exceptions for missing or expired loan documents. Advise assigned loan officer of all loan exceptions.
  • Assists and understands the opening process for deposit accounts connected to loans as collateral.
  • Cross-sells bank products and services, coordinates meetings with other lines of business, and services the banking needs of the customer. Constantly communicate and exchange information with internal and external customers effectively by answering questions in person or on telephone and refers customers to other bank services as necessary.
  • Required to gain working regulatory knowledge including but not limited to: privacy, safeguarding customer information, Regulation B, Equal Credit Opportunity, Truth in Lending, CRA, HMDA, and flood regulations.
  • May provide administrative support to Loan Officer by scheduling appointments, sorting and distributing mail, receiving customers and visitors to the department, answering telephones and taking messages. Supports and assists internal customers (other personnel) and executive management as requested.
  • Assist Loan Officer in calling efforts to existing customers and prospects.
  • Provide support in marketing and public relation opportunities within the branch.
  • Operate computer, keyboard, telephone, scanner and copier. Strong computer skills including general knowledge in MS Office Outlook, typing, 10 key and the internet. Proficiency with internal bank software, FIS IS View and Loan Operations Platform will be required.
  • Must be able to arrive at work on time, work on site and work cooperatively with other co-workers.
  • Complete all on-line compliance Teal Training courses timely.
  • Additional duties may be assigned or required by management.

SUPERVISORY RESPONSIBILITIES: This position has no supervisory responsibilities

HOURS OF AVAILABILITY: Regularly Scheduled Hours/Week: 40 Hours

Monday - Friday 8:00 am - 5:00 pm *Extended working hours may be required.

QUALIFICATIONS |EDUCATION | EXPERIENCE | SKILLS | AVAILABILITY

REQUIREMENTS:

  • Candidate must be, at a minimum, 18 years of age..

EDUCATION and/or EXPERIENCE:

  • High school diploma or general education degree (GED) Required.
  • 1 – 2 years post-secondary education experience preferred.
  • 3 years Loan Assistant experience Required.
  • Previous administrative, retail leadership environment and/or bank back office/lending experience highly preferred.
  • Demonstrated excellent adaptability in the workplace and initiative to acquire knowledge.
  • Ability of decision-making skills in the workplace which include identifying the situation and problem solving.
  • Ability to work under minimal supervision on basic responsibilities of the position, time management skills, and demonstrate thoroughness and accuracy.

PHYSICAL DEMANDS AND WORK ENVIRONMENT INFORMATION:

Physical Demands
The employee must possess sufficient mobility to work in and move about in a standard office setting and sufficient hand, arm, and finger dexterity to operate a computer keyboard and other office equipment. Substantial time may be spend on the telephone and working on a computer, sitting and/or standing. The employee must have the ability to hear and articulate well enough to carry on a normal conversation, both in person and over the telephone. Visual abilities required by this job include the ability to read materials in either a printed format or on a computer screen. The employee must occasionally lift and move up to 10 pounds.
