POSITION TITLE: Operations Coordinator DATE: February 2024

REPORTS TO: Operations Strategist DEPARTMENT: Servco/Direct

CLASSIFICATION: Exempt 

POSITION SUMMARY:

The Operations Coordinator assists the Operations Strategist to effectively implement operational strategies and monitor success in achieving defined goals. This position plays a crucial role in ensuring projects and strategies are completed successfully, on time, and within budget. The Operations Coordinator must have strong organizational, communication and leadership skills as well as the ability to manage multiple tasks and priorities simultaneously. The Operations Coordinator will be part of an exceptional, resourceful and collaborative team here at First Mainstreet Insurance.

ESSENTIAL JOB FUNCTIONS & RESPONSIBILITIES

· Assist Operations Strategist in monitoring and driving forward operational strategies

· Work with Operations & Growth to drive forward agency stabilization

· Assist Operations Strategist in project and activity management

· Define project scope, goals, and deliverables

· Develop project plans, schedules, and budgets while documenting project in one place (using Wrike software tool)

· Allocate appropriate resources and manage project teams for the whole duration of the project

· Identify and mitigate project risks

· Coordinate, evaluate and summarize Operational Dashboards

· Be a resource to the operations team as needed in finding the support or resources they need to succeed in their roles 

· Communicate with stakeholders, team members, and management regarding all project details

· Ability to connect dots between departments to ensure each departments goals are accomplished

· Monitor project progress and performance 

· Ensure project deliverables meet quality standards

· Resolve issues and conflicts that may arise 

· Evaluate project outcomes and identify areas for improvement

· Ability to work closely with cross-functional teams to ensure projects are completed successfully and meet the standards

· Research topics and potential resources as requested

· Assume additional responsibilities as requested

EDUCATION & QUALIFICATIONS

· Bachelor’s degree in business, or related field

· Minimum of 3 year’s experience in operations or project management

· Strong organizational, communication, and leadership skills

· Ability to manage multiple projects and priorities simultaneously

· Experience with project management tools and software to improve efficiencies for all 

· Knowledge of Wrike software is a plus

· Excellent written and verbal communication skills

· Strong understanding of finance and measures of performance

· Outstanding attention to detail

· Excellent customer service skills 

· Ability to multi-task in a fast-paced environment, often with short timeframes

· Ability to work remotely with team members as well as manage multiple projects while prioritizing work assignments 

· Must be technology-adept and have excellent computer skills with Microsoft Office

· Willingness to learn insurance terminology and processes and develop understanding of the property & casualty agency business model in order to be able to drive key business strategies

The employee is also required to sit for long periods of time often in front of a computer monitor and operate a computer keyboard. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required include close vision, distance vision, color vision, depth perception, and ability to adjust focus.
