  • Training Officer (TO) Duties and Responsibilities

The primary role of the Training Officer is to contribute to the development and implementation of the veterinary technician and customer service training program. The TO will guide team members through initial and advanced training by fulfilling the following responsibilities:

1. Assist in the training of technicians to advance their skill levels.

2. Aid in the training of Customer Service Representatives (CSRs) for their professional development and the enhancement of customer service.

3. Ensure correct utilization and measurement of training tools.

4. Measure training procedure compliance and provide regular learning opportunities for all support staff.

5. Evaluate and approve team members authorized to work with trainees.

6. Verify that safety measures are always followed.

Key Functions

1. Maintenance of Training Binders:

  • Collaborating with supervisors and the practice manager to uphold accurate and current OSHA and FCNMHP protocols.
  • Conducting a semi-annual review of all content.

2. Identification and Resolution of Training Deficiencies:

  • Addressing gaps through additional hands-on training, discussions, or reference materials.

3. Development and Sourcing of Training Materials:

  • Creating or sourcing materials pre-approved by the practice manager to meet specific training needs.

4. Individualized Training Plans:

  • Mapping out an executing plans tailored to individual training needs based on trainee feedback.
  • Implementing sessions that align with various learning styles.

5. Maintenance of Training Records:

  • Ensuring accurate and up-to-date training records for all team members.

6. Matching Student/Teacher Pairs:

  • Identifying suitable pairs based on skill set and personality.

7. Recommendations for Lunch and Learn Sessions:

  • Providing input and scheduling sessions with practice manager approval.

8. Championing Training Activities:

  • Leading group training sessions to foster a culture of continuous learning.

Leadership Skills

  • Create an approachable environment within both hospitals to build a collaborative training program.
  • Handle conflicts with maturity and emotional intelligence while promoting a positive resolution.
  • Communicate promptly with senior management regarding internal issues or concerns within the team.

Additional Duties of the TO:

Ensure that, weekly, FCNMHP Level 1 technicians have their progress signed off in the training manual and report their progress to the VC Supervisor.

Design and apply assessment tools that measure the effectiveness of the training, providing practical feedback to management.

For Technicians:

  • Observe Level 1 technicians, assess their progress, and provide additional training as needed.
  • Work with Level 2 technicians advancing to Level 3.

For CSRs:

  • Observe CSR teams, assess customer service skills, accuracy for financing, knowledge of prevention, charitable care knowledge, and ability to schedule appointments accurately.
  • Provide additional training for advancement from Level 1 to Level 2 and from Level 2 to Level 3.

Collaboration and Documentation:

  • Work closely with practice managers and CMO to communicate and document any issues, incidents, or areas needing improvement.
  • Document bite reports and safety concerns related to vet tech duties or performance.
  • Assist in developing methods to improve team morale.

Professionalism:

  • Uphold safe practices, follow policies and protocols, representing FCNMHP.
  • Set performance standards by embodying the FCNMHP Top 10 Rules to Live By.

The mission of First Coast No More Homeless Pets is to make veterinary care affordable and accessible to all as we save lives by keeping dogs and cats in homes and out of shelters, provide low-cost spay/neuter services with emphasis on feral/community cats, and deliver a broad range of related programs and services.

Job Type: Full-time

Pay: $20.00 - $24.00 per hour

Expected hours: 40 – 50 per week
