Field Museum is Hiring a Principal and Major Gifts Coordinator Near Chicago, IL

The Field Museum is seeking a Major Gifts Coordinator to join our team!

This position is an active participant in the Field Museum’s major gifts and planned giving philanthropy, reporting to the Director of Principal and Major Gifts. The Coordinator will provide administrative support to the Director, Principal, and Major Gifts and will coordinate activities of the Principal and Major Gifts teams in Institutional Advancement, including solicitation activities, events, and communications. The position will also manage donor portfolios for frontline gifts officers.

Duties and Responsibilities

  • Provide administrative support to the Director, Principal and Major Gifts
  • Staff gift officers, senior management, and Trustees for cultivation and/or solicitation meetings by scheduling meetings, creating briefing memos, solidifying meeting logistics, and preparing meeting materials
  • Act as a liaison to the President’s Office to coordinate donor visits
  • Manage a robust moves management process, including pulling monthly metrics reports (crystal reports/Raiser’s Edge), ensuring balanced major gifts and individual giving portfolios
  • Work in partnership with the data services and prospect research and individual giving teams to identify and assign new prospects
  • Staff Development and Campaign Committee(s): coordinate meetings—including arranging logistics, preparing agendas and meeting information packets, and taking and disseminating meeting notes and follow-up assignments
  • Act as a liaison to the Campaign Director, coordinating efforts with the Principal and Major Gifts team in pursuit of campaign planning and execution
  • Project manage major gifts events and travel inclusive of logistics, invitations, RSVP tracking, donor communication, and follow-up
  • Support Planned Giving efforts including, but not limited to: drafting communications, coordinating with outside marketing firm, managing mailings, planning events for Ayer Society member group, and supporting the Ayer Society co-chairs
  • Other duties as assigned

Qualifications

  • Bachelor’s degree or equivalent combination of education and experience (B.A. from a four-year college or university and/or three to five years related experience and/or training)
  • High-energy, proactive, self-directed
  • Excellent administrative and organizational abilities; detail-oriented
  • Experienced project manager
  • Strong technical and data literacy (Google suite, Microsoft suite, Adobe, Mailchimp, Raiser’s Edge database)
  • Experience/comfort working with Trustees and civic leaders
  • Strong written and verbal communication skills
  • Ability to gather data, analyze information, and prepare reports
  • Able to manage confidential information with discretion
