Office Manager

Classification: Non-Exempt, Hourly

Wage (DOE): $25-50/hour

Weekly Schedule: Tuesday - Saturday

Position Summary

The Office Manager is an essential member of the Fator’s team. This role is responsible for the agency’s finances, the compliance of all applicable regulations, and ensuring the administration of the business is in good health.

The ideal candidate is someone who takes initiative, is a self-starter, and works well independently. They will have a strong attention to detail. They will be able to multitask and prioritize an array of tasks. They will have strong interpersonal skills to be able to work collaboratively with the team, provide exceptional customer service, and work with a variety of vendors and other community members.

Essential Duties and Responsibilities

  • Must be able to be licensed for the Business Partner Automation program with the CA DMV to process paperwork including the submission of report of sales, processing bundles, and all regulatory reporting
  • Responsible for processing daily sales tax liabilities and assist in the preparation of sales tax returns
  • Prepare, audit, submit, and process all financing applications and contracts as well as the subsequent record retention
  • Conduct frequent auditing, reporting, and creating financial statements for internal purposes (e.g., EPA fees, etc.) and external requests (e.g., insurance renewals, flooring, etc.)
  • Responsible for the record maintenance of personnel files, sales deals, full and partial tax exemption supporting documentation, customer financing contracts, etc.
  • Process daily sales, create invoices, receive payments, pay bills, and reconcile bank accounts
  • Perform inventory management by entering inventory into the database, creating sales packets, maintaining the inventory listing for floor audits, complete flooring payoffs, etc.
  • Collaborate with Fator’s management and consultants to update and maintain office policies, organize and update technology, and other projects as needed
  • Perform accurate weekly payrolls, deliver paychecks, and subsequently manage all payroll liabilities including weekly and quarterly as well as year end reporting
  • Serve as the primary person for ordering supplies, shopping, and other errands as needed
  • Ensure compliance with all applicable EPA regulations; manage and coordinate the collection of wastes as well as the maintenance of files for audits and/or inspections
  • Responsible for workers’ compensation and other insurance policies including annual audits, payroll reporting, renewal applications, etc.
  • Complete corporate tax returns
  • Process warranty claims
  • Other duties as assigned

Qualifications

Education

  • Required: High School Diploma or GED equivalent
  • Desired: Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or related field

Experience

  • Required: 1-3 years of experience in accounting or business.
  • Desired: 3-5 years experience in accounting or business. Competency within QuickBooks, DMV processing, finance contract processing is an advantage.

Skills & Abilities

  • Ability to read, analyze, and interpret a variety of procedures, instructions, and regulations in fields applicable to the industry and/or relevant to the position
  • Ability to organization and manage time effectively and to work independently
  • Ability to use basic math skills to compute rates, percentages,
  • Ability to solve practical problems with available information
  • Ability to respond to common inquiries or concerns from customers, regulatory agencies, vendors, or other members of the community
  • Strengths in multi-tasking,
  • Skilled in the use of computer applications (QuickBooks, Microsoft Office Suite, Adobe PDF, database management, etc.)
  • Strong interpersonal skills, including the ability to collaborate with subject matter experts, vendors, and
  • Ability to operate standard office equipment such as a computer, copier, calculator, etc.

The employee must be able to occasionally lift 20 pounds overhead and 40 pounds from waist to shoulder. The employee frequently lifts and/or moves up to 40 points, and occasionally lifts 50 pounds from floor to waist. The employee must be able to push/pull up to 75 pounds horizontally. Specific vision abilities required by this job include close vision, distant vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
