The Intake Coordinator will be responsible for the coordination of all counseling intakes which are then presented to the Director of Behavioral Health. This position is also the liaison between the referral source and the insurance companies, obtaining all needed documentation for pre-authorization. This position will also provide administrative support to behavioral health programs and medical providers which will include but is not limited to scanning and uploading documents to electronic health record; calling providers/pharmacies to confirm prescriptions and obtain missing paperwork; uploading data into outside program databases.

The Intake Coordinator will provide daily coverage at the front desk and will also cover the front desk at other times when coverage is required. The Intake Coordinator must be knowledgeable about all agency departments and programs and able to appropriately direct calls, inquiries and visitors based on this knowledge.

This position is in-person 5 days a week from 9am - 3pm.

Responsibilities:

  • Complete phone screenings and accept new referrals for behavioral health services
  • Verify third party payer coverage on new intakes
  • Maintain intake log
  • Assign cases to clinicians in collaboration with the Director/ Program supervisors
  • Panel new clinicians with insurances as needed; maintain up to date paneling for all licensed clinicians
  • Generate reports as required
  • Review and approve bills before mailing as assigned
  • Assist in resolution of billing problems
  • Assure compliance with established agency managed care contracts
  • Initiate and maintain required internal and external managed care paperwork
  • Complete a 30-day review on all new cases, providing a copy of the review to the Director of Behavioral Health and to the clinician
  • Uploading data into outside program databases (DDAP, BMS, etc.)
  • Filing for clinical charts, uploading documents into electronic health record
  • Administrative support to psychiatrist and APRN scanning/uploading/contacting pharmacies/ calling clients/
  • Maintain on going communication with Director of Behavioral Health and program supervisor(s) regarding intakes and assignments
  • Attend meetings with behavioral health program leadership on a biweekly basis

Requirements:

  • Bilingual, Spanish speaking required
  • Excellent computer skills with Microsoft Suite
  • Strong customer service skills
  • Ability to multi-task and prioritize tasks
  • Excellent verbal and written communication skills
  • Must have dependable transportation
  • Must have awareness of the cultural and socio-economic characteristics of clients served
  • Must have working knowledge of managed care systems
  • Must have computer skills
